Inside Project Coordinator ( Intermediate Project manager role)
Workdays: Monday thru Friday
Hours: 8:00 am - 5:00 pm
Location: Kennesaw, GA 30144 (In-Office)
Under the direct supervision of the Project Manager or designee, this position will be responsible for assisting Project Managers with daily communication, database management, and customer escalations. Will assist and supervise the performance of the project processes and all daily activities under Project Manager(s) or designee supervision. This person will work closely with the project staff.
NOTE: Work at this level provides the opportunity to refine the basic skills gained through education, and acquire additional skills through experience in order to qualify for advancement to the advanced level. Project assignments will tend to be of narrower focus and smaller scale.
RESPONSIBILITIES:
ESSENTIAL FUNCTIONS:
- 35% Assists Inside Project Manager with communications with clients for installation readiness in accordance with applicable Statement of Work.
- 20% Maintains accuracy and updates to the current project data bases.
- 10% Participates in weekly project meetings as appropriate and under the direction of the Inside Project Manager and assist with the determination of project requirements.
- 5% Reviews Subcontractor invoices for accuracy.
- 10% Assists Inside Project Manager with creating status reports for the Vendors, Partners and customers as required.
- 5% Assists Inside Project Manager with ensuring that projects meet defined project timelines and stays within budget.
- 2% Effectively and accurately communicates relevant project information and project status with project team.
- 5% Coordinates and tracks any missing components of the client’s shipments. Reports claims to Company Corporate office for insurance purposes and provides all incident information.
- 3% Communicates with Company supervisor, making them aware of any billing discrepancies with vendor and/or customers with project related business.
- 5% Assists Inside Project Manager with ensuring proper project closure, including securing customer sign-offs and ensuring that all interim and end-of-project billing has been completed.

KNOWLEDGE OF: Principles, practices, and methods of IT Projects. Working knowledge of database programs is preferred.
SKILL AT: Planning, coordinating, and managing field installation projects, assisting in problem solving, etc. Must be proficient in Microsoft Office products. Intermediate-level PC technical skills required. Good communications skills required. It is essential for employee to have the ability to work independently with guidance to prioritize and complete tasks as per defined deadlines. Attention to detail a must. Strong interpersonal skills essential.

WORKING CONDITIONS:
Work is performed primarily in a standard office environment, but may involve exposure to moderate noise levels from high-speed computer printers and other peripherals. Work involves operation of personal computer equipment for four or more hours daily. Occasionally may work evenings, weekends, and/or other than normal work hours as necessary. May travel locally when needed for project related site visits or pilots.
