JOB DESCRIPTION:
The WJP Residence Manager Supervisor is responsible for the management, coordination and supervision of the Residence Managers and Senior Residence Manager. This includes coordinating staff work activities, client services; orientation, training, as well as supervision of other staff with programmatic responsibilities and implementation of program policies and procedures. The position will require occasional evening and weekend work hours and travel to various WJP Locations.
REPORTS TO: Assistant Director
RESPONSIBILITIES:
- Supervise Residence Managers and Senior Residence Manager to include completing probationary and annual evaluations; timecard approval and Paid Time Off (PTO);
- Ensures/facilitates orientation and on-site job training for Residence Managers and Senior Residence Manager;
- Ensure compliance with MOCJ, SHERO and OTDA regulations and procedures each location;
- Assist the Assistant Director in the submission of reports and responses to SHERO, MOCJ, and other oversight agencies inspections;
- Ensure all Residence Managers and Senior Residence Manager are trained and credentialed in Fire Safety, Food Protection, First Aide, CPR, Mandated Reporting and Mental Health First Aid;
- Responsible for the scheduling of Residence Managers and Senior Residence Manager ensuring that all shifts are properly covered;
- Facilitates communication with the maintenance team on repair needs throughout the building, as well as ensure the proper use of the Maintenance and Room Inspection logs by the Residence Managers;
- Ensures that units are turned over, repaired and placed online in a timely manner;
- Reviews and sign off on all completed unit inspection and report any concerns to Assistant Director for follow up;
- Audit critical binders biweekly and report any concerns to Assistant Director for follow up;
- Respond to all shift reports and provide follow-up concerns to Assistant Director and the Program Director as necessary;
- Review all shift duties daily to ensure completion;
- Conduct weekly individual supervision and performance appraisals for all Residence Managers and Senior Residence Manager;
- Schedule Fire Drills and ensure that they are completed for all sites on a monthly basis as required;
- Order program supplies through appropriate vendors i.e., Crown, Staples, Trooper Foods and Fresh Direct;
- Work closely with Residence Managers and Senior Residence Manager ensuring they communicate to the social workers in a timely manner on all resident concerns, to include follow through on noncompliance issues, and all matters that might impact the residents’ completion of identified goals;
- Meet with Assistant Director for regular supervision;
- Perform other tasks as assigned.
Team/Staff Relations
- Work as a Providence House team member with all staff and volunteers in order to implement the mission and core values of the agency;
- Attend internal and external agency meetings;
- Work as part of team to plan and develop residents’ programs.
Administrative
- Ensures that staff adhere to WJP/SHERO and MOCJ regulations and documents appropriately;
- Ensure that Resident Managers and Senior Residence Manager maintain site binders in compliance with oversight agency expectations;
- Assist with audits and corrective action plans;
- Assists Assistant Director with any and all data collection systems.
Sanctuary Model
- Effectively use and practice Sanctuary Models tools; safety plans, community meetings, psycho-educational groups, team meetings, red flags reviews, and self-care in the program to create a non-violent and trauma sensitive culture;
- Promote and model the core values of Providence House Mission (Compassion, Non-Violence, Hospitality, and Community) and the Seven Sanctuary Model Commitments to create a non-violent and trauma sensitive culture;
- Integrate the Sanctuary Model SELF (Safety, Emotional Management, Loss and Future) framework into daily practice to ensure quality care and an effective work environment.
REQUIREMENTS:
- High School Diploma or Equivalent;
- Minimum 2 years in Program Supervision and Administration;
- Ability to manage and coordinate staff work activities;
- Excellent verbal and written communication and interpersonal skills;
- Ability to work independently;
- Competent technology management skills, including proficiency with using Microsoft Office; client database management;
- Compatible philosophy with the Providence House mission and Sanctuary Model of trauma informed care.
- Requires travel to Women’s Justice Program (WJP) locations. All sites are currently located in Brooklyn, New York.
WORK SCHEDULE:
The Residence Manager Supervisor position is a full time, salaried position. Work hours will be determined upon a mutually agreed upon schedule and will include occasional evening and weekend hours.
SALARY & BENEFITS:
Salary is $50K Annually. Paid time off benefits include: 14 paid holidays, 3 weeks of vacation, 3 personal days, 12 sick days, early closure proceeding holidays, and a day off annually in recognition of your Birthday.
