This job requires working between all departments: Sales, Service, and administration. The expectation is to provide excellent customer service, effective communication, be dependable and maintain confidence in the department by others. The Service Advisor is expected to perform the duties and responsibilities with a high level of accuracy.
Essential Duties
Customer Service
- Answer phone calls and take detailed message with an understanding of the customer’s complaint or desired work to be completed.
- Scheduling of repairs to be completed and by whom.
- Relay information timely to Service Team of customer’s concerns pertaining to existing or work which needs to be scheduled.
- Communicate with customers when the work has been completed or changes in estimates or time frame for completion.
Preparation for Scheduled Repairs
- Place orders with vendors and complete price-check for best pricing and availability.
- Create Purchase Orders within the accounting system for all ordered parts and inventory items.
- Physically receive inventory and match against vendor invoices for accuracy.
- Enter inventory into the accounting system based on received items.
- As appointments are scheduled, verify all required parts have been ordered, received, and damaged free for the upcoming appointments. Verify the availability of the vehicle to be repaired.
- Assist in obtaining vendor information for new vendors you are working with.
- Check in vehicle verifying the VIN, odometer reading, and noting any physical damages on the vehicle at the time the vehicle is received.
- Help maintain the sublet work scheduled which may involve assisting in the delivery of the vehicle to an off-site vendor.
- Independently complete minimum maintenance items on vehicle purchases made by the sales department.
Sales Department Ordering
- Price check parts/accessories requested by Sales Department
- Order items as required
- Ensure proper authorizations are obtained for these purchases
- Track shipments as needed
- Route incoming items to the appropriate person
- Handle returns for any unneeded items
Posting
- Create new Repair Orders in Accounting System at the time the customer/Sales Department agreed to complete the repairs estimated.
- Post all non-inventory part purchases against the Repair Order for which the part was ordered.
- Review purchases for sales tax charged and follow Use Tax guidelines for invoice posting.
- Post all part inventory invoices as they are received.
- Enter and post all repair orders from the Mitchell System to Dealer Track.
Other Duties
- Complete a physical count of all inventory items monthly. The timing of this task should be coordinated with the controller who will assist in this process.
- Receive payments via multiple payment methods.
- Maintaining current / accurate bin locations for inventory items and of items scheduled to be installed.
- Process and return all unneeded items as allowed by our Vendors.
- Research unprocessed invoices as needed for accounting department.
Reports to and Work Schedule
This position reports directly to the General Manager and indirectly to the Controller. The schedule for this position is Monday to Friday from 8:00 AM to 5:00 PM with a 1-hour lunch period. There should be little to no overtime unless requested by the department manager.

Pay: $40,000.00 - $70,000.00 per year
