Office Administrator/Executive Assistant
The Office Administrator/Executive Assistant is responsible for directly supporting the Managing Director, providing general administrative support and office management functions. The ideal candidate will have initiative and be a hard worker with a professional demeanor. This person should be comfortable working with internal personnel in other offices, as well as clients, and must be attentive to details and use discretion.
Executive Assistant duties:
· Greet clients, customers, and visitors
· Screen incoming phone calls
· Prepare materials for client meetings and prospect presentations
· Initiate and process opening and closing of accounts including paperwork preparation and processing as well as asset transfers to/from prior/new custodians(s)
· Perform a complete accounting of prior business day’s activities, input requests for cash raises and perform miscellaneous client account maintenance
· Assist Compliance manager with annual updates
· Maintain CRM database
· Maintain calendar
· Maintain SEC compliance calendar
· Maintain SEC/FINRA license updates
· Prepare performance reports
· Prepare/process client billing
· Other duties as assigned
Office administration duties:
· Maintains supplies for office, kitchenette, and office equipment, office space coordination, facility maintenance, mail and shipping.
· Coordinates with IT, as needed, to ensure space and equipment allocation meets employee and organizational needs.
· Manages the relationships and contracts with facility management vendors (such as the property management company)
Qualifications/Skills:
· Proficient in Microsoft Word, Excel, Outlook
· Excellent interpersonal and communication skills, both verbal and written
· Office administration experience
· Excellent organizational and project management skills
· Experience with managing schedules/calendars
· Demonstrates strong attention to detail
· Demonstrates ability to be self-motivate and work independently
Salary Range:
$25-$30 per hour, depending on experience
