Position Summary:
The Fuel Management and Invoice Processing Team requires an exceptionally skilled and experienced professional who possesses a strong command of business operations, financial best practices, and specialized expertise in fuel management. This individual will serve as a vital leader, responsible for building and nurturing collaborative relationships with a diverse range of stakeholders, including peers, managers, directors, and external partners. A key focus will be identifying the organization's evolving needs and delivering effective solutions to streamline and standardize critical business processes, with a steadfast commitment to quality assurance, quality control, and superior customer service throughout the invoicing workflow.
Tasked with overseeing both internal and external stakeholders, this expert will ensure strict adherence to proper invoicing procedures, provide interpretation and clarification of invoicing policies, and spearhead the efficient and accurate payment of all customer invoices. Their exceptional leadership abilities will be essential in driving the team's success, as they work to enhance the administration of the fuel program and guarantee its seamless management. Equally important will be their capacity to deliver excellent service and comprehensive support to both internal and external customers, cementing the organization's reputation for responsiveness and reliability. With a keen eye for detail and a solutions-oriented mindset, this individual will be instrumental in streamlining operations, optimizing processes, and cultivating a culture of continuous improvement within the Fuel Management and Invoice Processing Team.
Primary Job Responsibilities:
- Identify, verify, analyze, and implement process improvement and re-engineering opportunities to support the organization.
- Provide technical and analytical support in process improvement initiatives.
- Develop process analysis and re-engineering to enhance efficiency, reduce costs and improve services.
- Train and guide resources in process improvement techniques
- Manage and lead invoice and fuel team to achieve desired results.
- Assist in development new process capabilities.
- Research and resolve invoice discrepancies.
- Review and ensure monthly invoices are processed in a timely and accurate manner.
- Coordinate with various teams to analyze project results and performance.
- Oversee monthly invoice submission.
- Proactively identify risks and create mitigation strategies for new operational initiatives.
- Drive regional process improvements and roll out policy changes to maximize program impact.
- Execute deep dives, analyze findings, and present recommendations to cross functional partners to help drive high-impact decisions.
- Responsible for staff hiring, goal setting, coaching/training, performance evaluations, etc.
- Produce monthly fuel and invoicing reports.
- Manage ad-hoc project requests and other duties as assigned.
- Perform fuel usage investigation.
- Troubleshoot process issues and propose innovative solutions for the team.
- Communicate program status and report on key performance indicators to Fleet leadership.
- Utilize effective project management, data analytics, and performance measurement to ensure the timely completion of project milestones and the successful delivery of all expected outputs.
Education and Experience Requirements:
Minimum Qualifications:
- Requires a bachelor’s degree or higher in business administration, accounting, operations management, or related field; an equivalent combination of education and experience is acceptable.
- Experience in analyzing, prioritizing, identifying, and executing solutions.
- Knowledge in root causes analyses, problem solving and the ability to identify business opportunities and mitigate risks.
- Ability to work extended hours, and various work schedules.
- Must be proficient in advanced Microsoft applications including Word, Excel, Outlook, Smartsheet, and PowerPoint.
- Skilled at time management to set and organize against priorities and meet deadlines.
- Adept at building relationships with internal and external contacts and working effectively with a range of personalities and technical skill levels.
- Proficient with window operating system, Microsoft office.
- Excellent oral, written, and interpersonal communication skills.
- Requires a minimum of 5+ years of operational experience, 5+ years of experience in fuel management, 5+ years of invoice and accounting experience.
- Experience leading a team and helping them solve complex problems.
- Experienced in managing vendors and partners.
- Highly process-oriented, with a record of simultaneously managing multiple complex projects.
- Familiarity with invoice processing for payment.
- Strong critical thinking skills and the ability to propose effective solutions.
- Capable of multitasking in a challenging environment.
- Proficient in using fuel management software and tools is essential.

- Possesses a high level of business acumen, the ability to anticipate future trends, and the skill to identify business opportunities and risks.

- Proven record of demonstrating leadership, versatility, and integrity.
- Experienced with accounting software, including P-Vault
- Ability to create powerful data presentations which effectively quantify and justify value created to both analytical and non-analytical audiences.
