We are growing and ready to add an Office Assistant Manager to our team. The ideal candidate will assist the owner and work in the office at our Madisonburg location, handling various administrative, bookkeeping, payroll, and marketing duties.

General Responsibilities:
Administrative Support
- Serve as the primary point of contact for all incoming calls, providing excellent customer service and directing inquiries appropriately.
- Assist the owner with day-to-day tasks, including scheduling appointments, managing emails, and organizing paperwork.
- Maintain office supplies inventory and place orders as needed.
Bookkeeping
- Utilize QuickBooks for accounting and payroll purposes.
- Process payroll accurately and promptly, including filing PR taxes and managing employee benefits.
- Handle all aspects of accounts receivable and accounts payable.
- Maintain a thorough understanding of profit and loss statements to support financial decision-making.
- Manage timecards currently on paper, ensuring accuracy and compliance with company policies.
Marketing Support
- Collaborate with the owner and company photographer to create engaging content for marketing materials.
- Develop and distribute newsletters to current and potential clients, showcasing our services and promotions.
- Update the company website regularly with relevant content and ensure it reflects current offerings and company information.
- Draft informative and engaging blog posts to increase online visibility and attract leads.
- Keep track of leads generated through marketing efforts and assist in nurturing client relationships.
Education and Experience:
- Associate degree or high school diploma/GED or equivalent and at least 4 years of bookkeeping experience. A bachelor’s degree in Business Administration is preferred.
Qualifications:
- Experience in office administration, preferably in a small business environment.
- Proficiency in QuickBooks accounting software and experience with payroll processing.
- Understanding of financial reporting, including profit and loss and balance sheet statements.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize tasks effectively in a fast-paced environment.
- Marketing experience, including content creation and digital marketing tools, is preferred.
- Familiarity with the roofing industry or construction sector is a plus.
