Position Title: Accounts Payable Team Lead
Department: Finance/Accounting
Supervisor: Finance Manager/Controller
Status/Hours per Week: Exempt / 40 hours
Primary Function:
The Accounts Payable (AP) Team Lead is responsible for coordinating and overseeing the preparation of vendor invoices for payment. In this role, the individual will oversee a team of 2-3 AP clerks.
Duties & Responsibilities:
- Supervise the day-to-day operations of the AP department.
- Responsible for the end-to-end processing of the bi-weekly AP check run and one-offs.
- Process invoices, check requests, and reimbursements for vendors and employees.
- Review vendor statements, analyze discrepancies, and address any outstanding invoice issues with vendors and health center employees.
- Work with Accounting and Finance to determine monthly/annual expense accrual and monthly AP Aging reconciliation.
- Handle and take responsibility for the issuance of 1099’s each year.
- Maintain positive vendor relations and act as a liaison between the organization and vendors in all aspects; and monitor special priority vendors as needed.
- Maintain purchasing information, file and record (e.g. purchase orders, W-9, vendor insurance certificates, vendor files, etc.) to ensure the availability of documentation and compliance with established policies and regulatory guidelines.
- Retain a strong focus on process improvements.
- Perform other related duties as required.
Experience & Qualifications:
- Knowledge of Accounts Payable principles and computer software, preferably Microsoft Dynamics 365 Business Central.
- Ability to direct and supervise others.
- Proficiency in MS Office.
- Excellent communication and organizational skills.
Independent Action:
- Ability to work independently and troubleshoot issues with minimum supervision.
Supervisory Responsibility:
- Provide advice and direction to the Accounts Payable Team.
