We are searching for an Executive Personal Assistant who will report directly to the CEO and will work closely to support, partner and team-up with him to manage the Offices of the CEO. The work will consist of both higher-level management duties and day-to-day administrative duties in both the business and personal arenas.
DUTIES MAY INCLUDE BUT ARE NOT LIMITED TO:
-Managing and paying personal and company bills from multiple accounts.
-Detailed e-mail management with multi-level inboxes and complex filters.
- Performs clerical and administrative tasks, inclusive of meeting minutes, drafting letters, filing, scanning, reports, and other documents. Research and format information for internal and external communication: memos, emails, presentations, spreadsheets, and reports.
- With the senior leadership team, facilitate the collaboration and information sharing across all 6 locations.
-Track the progress of projects that were assigned to department head managers. Over time, check the quality of the work and its alignment with the CEO’s priorities before scheduling meetings with the CEO.
- Be ready to perform administrative tasks such as maintain the CEO’s office tidiness and cleanliness, dinner reservations, order meals, preparing tea/drinks, preparing/tidying CEO’s office for dinner or before meetings, etc.
- Performs any duties as assigned by the CEO.
- Trusted, in sensitive, high-impact meetings, right-hand-to-the-CEO.
- Be aware of the patterns and rhythm of his work, even when he does not, and anticipate his needs to create or automate a more productive workflow.
- Act as the strategic manager of and gatekeeper for the CEO’s time. Keep the CEO focused and on-track for his priorities and take as much of everything else off his desk. Protect the CEO’s time and energy.
- Act as the primary point of contact between the CEO and executives, employees, clients, and other external partners, maintaining a high level of professionalism and discretion in all interactions as an extension and ambassador of the CEO.
-Recognize the importance of receiving and giving direct feedback, even when it is hard to hear, and using it to improve your work and the partnership.
Required Skills/Abilities:
- Personal chemistry and compatibility of business values and work style.
-Experienced in accounting and financial work especially related to spreadsheets preferred.
- Excellent verbal and written communication skills.
-Excellent organizational skills and attention to detail.
- Excellent time management skills with a track record of meeting deadlines.
- Ability to function well in a high-paced environment.
- Extensive knowledge of business operations, office administration, schedule-managing, and record-keeping systems.
EDUCATION:
- Bachelor's Degree preferred
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
