Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to support our executive team. The ideal candidate will have excellent communication skills, strong computer literacy, and the ability to handle multiple tasks simultaneously. This is a full-time position with opportunities for growth and advancement.
Duties:
- Provide administrative support, scheduling appointments, and coordinating annual meetings meetings
-Assist with Client office visitors at the front desk
-Track Statistics of work volume for all departments(Answered calls, Hivers, Appfolio Activities completed, CondoCerts processed, Mail Volume, Annual Meetings Processed
-Assist in developing SOPs
-Manage Job listings and schedule interviews
- Prepare and edit correspondence, reports, and presentations
- Conduct research and compile data for various projects
- Assist with project coordination and follow-up on action items
- Manage office operations, including maintaining supplies and equipment
- Perform data entry and maintain accurate records
- Answer phone calls and direct inquiries to the appropriate person or department
- Maintain confidentiality of sensitive information
- Assist with travel arrangements and expense reporting
- Coordinate logistics for meetings, conferences, and events
Skills:
- Strong customer service skills with a professional demeanor
- Proficient in computer applications such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Suite
- Excellent organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in all work performed
- Ability to handle confidential information with discretion
- Strong written and verbal communication skills
- Familiarity with phone systems and etiquette
- Experience with DocuSign or similar electronic signature platforms is a plus
- Event planning experience is a plus
