COMMUNITY MANAGER
REPORTS TO: Regional Manager
SUPERVISES: All on-site staff at the community to which they are assigned, as well as the performance of contractors and vendors.
GENERAL DUTIES:
Enhancing the community for which they are responsible in the most efficient and profitable manner possible based upon the goals and objectives of the Owner(s) / Investor(s), as well as, maximizing the greatest possible satisfaction and well-being of all customers. In addition, responsibilities include leading and teaching associates to maximize their professional growth and ensuring that all are treated equally, ethically, and morally on a consistent basis.
RESPONSIBILITIES:
- The total performance of the community to include maximizing income, collections, while controlling expenses as outlined in an approved Annual Budget. Achievement of the highest possible Operating Profit through the implementation of effective cost control and income collection programs while establishing responsive marketing strategies.
- Expenses shall be monitored to ensure compliance with the approved budget. Approval shall be obtained prior to incurring any expenses that have a material impact on the operating expenses or for any expenditures that exceed the approved budget.
- Income collections are of paramount importance. Every effort must be made by the Community Manager to achieve the highest possible collection levels. This shall include but not be limited to, personal phone calls, in-person visits to the resident’s apartment, and consistent adherence to collection policies as outlined in the lease agreement.
- Marketing strategies that consider the area/regional demographics as it relates to the community concentrating on pricing, prospective resident sources, renewal/turnover factors, unit type availability, interior/exterior product appeal, and historical trends. Community Managers must be knowledgeable of all information relating to comparable communities in the area, especially those chosen for the monthly survey.
- Ensure proper staffing, scheduling, and supervision of all on-site associates to ensure that each person performs their respective responsibilities through effective training, motivation, and development. The Regional Manager must approve the applicant prior to placing anyone on payroll.
- Develop annual operating budgets that clearly communicate the owner’s operating objectives. Must have an understanding of financial variances and competencies to complete a written report.
- Proper implementation of the company’s best practices related to on-site operations. Ensure compliance.
- Provide the optimum product and service to our residents in consideration of the physical limitations of the community. Maintain a consistent and strong customer service philosophy. Develop a strong sense of community.
- Maintain the physical condition and curb appeal of the community within the capabilities of the on-site personnel, allowing no deferred maintenance to occur. It shall be the responsibility of the Community Manager to ensure that the maintenance staff fulfills their responsibilities as outlined by the company’s accepted procedures and practices. The Community Manager is required to physically inspect the site daily.
- Responsible for ensuring that all required reporting is completed in an accurate, timely, and professional manner. In addition, adherence to scheduled deadlines according to the Community and Corporate deadlines.
- Provide solutions to problems and projects in a disciplined, logical, and consistent manner considering the potential legal ramifications which may occur. Be proactive to ensure the preservation of the physical plant and to reduce risk and liability to our owners, associates, and customers.
- Approve all applications and lease documents with a signature.
- Responsible for Liability and Loss Prevention in the community.
- Comply with all Fair Housing Laws.
- Responsible for all associate training, including Grace Hill courses.
- Other duties as assigned.
