Supervision and Direction: The AP/Payroll/Bookkeeper receives general supervision and direction from the Business Office Manager and will comply with established policies and procedures. In the absence of the Business Office Manager, the AP/Payroll/Bookkeeper will accept advice and instruction from the Executive Director.
Duties and Responsibilities: The AP/Payroll/Bookkeeper will be responsible for all aspects of the payroll process and for assisting with accounts payable. Specifically, the AP/Payroll/Bookkeeper:
- Is responsible for all aspects of the payroll process for hourly and salaried employees including monitoring missed punches daily. Duties include producing and verifying accuracy of time sheets, communicating with Department Managers and CSM staff to ensure timely transmission of payroll in accordance with established deadlines.
- Maintains effective employee relations, while acting as a liaison between the Executive Director, Administrator and Department Managers and employees in relation to payroll.
- Organizes and ensures all required personnel paperwork is completed accurately and according to company regulatory requirements. Ensure all paperwork is uploaded to the employee’s KRONOS profile and filed in physical files.
- Develops and maintains employee files with evaluation dates, current license certification, OSHA records, CPR and first aid certifications, and employee benefit information in compliance with Company and licensing regulations.
- When necessary, add payroll corrections/changes with supporting documentation to adjustment sheet in timely manner.
- Issues, maintains, prepares, and submits purchase orders and batches in accordance with accounts payable schedule and company policy.
- Balances, reviews, codes and submits, invoices, petty cash and vendor statements. Reconciles monthly vendor statements and obtains invoices as needed to process purchase orders.
- Answers telephones at the request of the Administrative Office and provides front-desk coverage as needed.
- Maintains employee filing and ensures all files are up to date.
- Assists with yearly purging of all employee and resident files.
- Assists Business Office Manager with Insurance verifications, as needed.
- Organizes and maintains an efficient work center.
