Job description
We are looking for an enthusiastic, customer-focused and detail-oriented individual to join our sales team at The Biltmore Hotel, property part of Millennium Hotels & Resorts. The Sales & Events Coordinator plays an important part in assisting the sales team operate efficiently, liaising with customers and communicating with the hotel operations team. You will be responsible for liaising with clients and ensuring their requirements are communicated to the banqueting operations team so they can deliver the service expected. Roles & responsibilities
- Answer calls and emails, respond to inquiries in a pleasant & professional manner
- Act as the primary point of contact for clients organizing groups and events with the hotel, once the contract has been signed
- Serve as point of contact for clients in the absence of the sales people, helping with requests
- Respond to client questions about property facilities and services (e.g., hours of operation, rates and room types, packages, promotions, restaurants, etc.)
- Review leads/inquiries coming in and promptly assign leads proportionately to sales managers, according to agreed criteria
- Prepare sales proposals, issue sales contracts as required by the sales managers
- Coordinate sales & marketing activities internally with the hotel and sales team
- Follow-up with clients for the return of countersigned contracts and deposits
- Gather materials and assemble information packs (e.g. brochures, promotional materials, sales demo kit, welcome kit, souvenir etc.)
- Assist sales team by managing schedules, filing documents and communicating relevant information
- Arrange and co-ordinate meetings, events and appointments
- Meet with clients in the absence of the Sales Managers to effectively and professionally convey details of the sale to the client
- Perform hotel site tours with potential clients in the absence of the Sales Managers
- Monitor, respond and distribute incoming communication
- Maintain customer database, including the merging of profiles on a regular basis
- Create and manage Company and Travel Agent profiles on the sales management system
- Create and update contact profiles, linking them to the correct account profiles
- Coordinate the loading and of negotiated rates to the correct company profiles, ensuring rates are bookable
- Print sales reports as and when needed (e.g. activities, enquiries, bookings)
- Coordinate necessary arrangements with vendors relating to sales, maintaining good working relationships
- Ensure sales-related equipment and materials are available and in good working order at all times
- Other sales support duties as assigned by line manager
- Input and maintain up to date all records of bookings and activities in Delphi / SalesForce
Job Requirements
- Excellent customer service and communications skills, solution driven
- Ability to work independently with little supervision self-starter
- Knowledge of working with Delphi FDC System / SalesForce (desirable)
- Manage challenging situations in a calm and professional manner
- Ability to assess and process information accurately, including essential mathematical calculations
Education:
College / university degree desired, or a combination of education and relevant work experience that provides the required knowledge, skills and abilities
Experience:
- 2+ years in an administrative / coordination role
- 1+ years working in a hotel
- Delphi FDC experience would be a benefit
