Job Summary: We are seeking an experienced Office Manager to oversee daily office operations and administrative staff. The ideal candidate will be organized, detail-oriented, and possess strong leadership skills to ensure the smooth functioning of our office.
Responsibilities:
- Oversee office budgeting, expenses, and financial record-keeping
- Implement and maintain office policies and procedures
- Coordinate office activities and operations to secure efficiency and compliance with company policies
- Handle customer inquiries and complaints in a professional manner
- Train, develop, and mentor new employees
- Maintain office equipment and supplies inventory
- Ensure proper functioning of office equipment, including phone systems
Legal Duties:
- Work with legal staff on claims and litigation cases
- Maintain and organize office files and legal records
- Assist in the preparation and filing of legal documents
- Coordinate with external legal counsel as necessary
- Ensure compliance with legal and regulatory requirements
- Conduct legal research and gather pertinent information as needed
Office Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer, screen, and forward incoming phone calls
- Schedule and coordinate appointments and meetings
- Manage incoming and outgoing mail and packages
- Assist with general administrative tasks as needed
Marketing Duties:
- Support marketing budgeting and initiatives
- Assist in the development and implementation of marketing strategies
- Coordinate marketing events and campaigns
- Track and report on marketing performance metrics
- Maintain relationships with vendors and partners for marketing materials
Additional Responsibilities:
- Assist with front desk duties as needed
Qualifications:
- Proven experience in team management and supervision
- Proficiency in QuickBooks or similar accounting software
- Excellent communication skills, both written and verbal
- Strong organizational skills with the ability to multitask effectively
- Previous experience in front desk duties is a plus
- Ability to supervise and lead a team effectively
- Experience in training development for staff improvement
- Proficient in clerical tasks and record-keeping
- Familiarity with budgeting processes
