Meeting Planner
Position Overview:
Are you a highly organized professional with exceptional skills in administrative roles and managing meeting logistics? If so, this position is perfect for you! The Maxim Meeting Planner is responsible for the logistical execution of Peer Group meetings for our clients. The individual in this position must be exceptionally detail-oriented, exhibit a high level of professionalism, customer service, and possess a strong sense of ownership for program success and client satisfaction.
The Meeting Planner reports to the Operations Manager and will partner with our team of Directors who facilitate logistics for Peer Group meetings and speaking engagements across the US. Strong expertise in planning on-site meetings, managing vendors, booking venues, arranging travel, and professionally communicating with attendees is essential.

Key Responsibilities:
Peer Group Meetings Management:
- Organize and manage logistics for company peer group meetings, including venue selection, contract negotiation with hotels, catering arrangements, and A/V setup.
- Ensure all deadlines set by hotels and other vendors are met.
- Plan outings, entertainment and off-site meals as requested.
- Schedule guest speakers and manage communications between meetings, ensuring all members meet due dates.
- Compile and distribute meeting materials to all members prior to meetings for review.
Travel Coordination:
- Book and coordinate travel arrangements for meeting facilitators.
Administrative Support:
- Provide vacation coverage for team members and perform additional duties as requested.
- Provide administrative support for company Directors as required.
- Maintain high levels of organization and attention to detail in all tasks.
- Create professionally written email communications for internal executive management and clients.
- Create professional-quality materials in PowerPoint, Excel, Word and other platforms as required.
Required Skills/Abilities:
Organizational Skills:
- Extremely well organized and detail-oriented with the ability to manage multiple tasks simultaneously with tight deadlines.
Communication:
- Excellent written, verbal, and telephone communication skills.
Technical Proficiency:
- Proficient in MS365, MS Teams, Monday.com, Word, Excel, Cvent, and Outlook.
Independence:
- Ability to work independently with minimal supervision.
Professionalism:
- Commitment to company values and maintaining the highest level of professional and ethical standards.

- This is a fully remote position, with occasional in-person meetings required with team members and occasional Peer Group meeting attendance.
Contract Type:
- This is a contract position (1099), no taxes are withheld, and no additional benefits are provided.
Salary and Benefits:
- Salary Range: [55,000] - [75,000]
