About us: A division within the Mass General Brigham Enterprise Department of Emergency Medicine, the Center for Disaster Medicine (CDM) (https://www.massgeneral.org/disaster-medicine) houses numerous grant-funded programs that focus on Disaster Medicine, Healthcare Preparedness and Emergency Management, and High Consequence Infectious Diseases. The CDM team is comprised of interdisciplinary subject matter experts, including national and international experts in their fields, leading the development of preparedness programs and resources to meet current and future healthcare challenges. Additionally, CDM is host to the MGB Disaster Medicine and Healthcare Emergency Management Fellowship program.

You have experience managing grant-funded operational programs and a history of pursuing funding opportunities, with strong grant-writing skills. About the work: Under the direction of the Director, Associate Director and the Director of Funded Projects in the Center for Disaster Medicine, the Assistant Director will oversee and manage multiple administrative and financial aspects of our externally funded programs, including, but not limited to, programs funded by the Administration for Strategic Preparedness and Response (ASPR) and the Centers for Disease Control and Prevention (CDC). The Assistant Director will collaborate with the Director and other CDM leaders to provide strategic direction to funded programs, cultivate relationships with stakeholders, support the professional development of CDM personnel, help to identify new funding opportunities, contribute to the writing of grants and reporting and academic publications.
Principal Duties and Responsibilities:
Center for Disaster Medicine Management/Operations
- Supports the Director of Funded projects in managing the work efforts under all funded programs
- Provides subject matter leadership for CDM programs and serves as a reliable leadership resource for CDM Program Managers and program staff
- Ensures the work efforts within all funded programs are progressing appropriately to meet operational and reporting deadlines
- Directly supervises and administratively manages the program managers leading each funded program
- Supports program response operations (following appropriate onboarding and training) by:
- Carrying the Regional Disaster Health Response System (RDHRS) Duty Officer pager for assigned periods of time
- Leading RDHR Response Center activities as assigned
- Serving as a subject matter expert for high consequence infectious disease events
- In collaboration with other CDM leaders, helps to establish a multiyear strategic plan for CDM that includes measurable benchmarks
- Supports implementation of the strategic plan and partners with CDM leadership team to update, as appropriate
- Engages in academic writing for publication and promotes the development of an environment that supports scholarly dissemination of program work
Disaster Medicine and Healthcare Emergency Management Fellowship
- Provides administrative leadership to the Disaster Medicine and Healthcare Emergency Management Fellowship program. Including, but not limited to:
- Advertising/promoting the fellowship program to candidates
- Recruitment and onboarding of Fellows
- Monitoring and updating the curriculum, in partnership with the CDM Director and Director of Funded Projects
- Meeting regularly with the Fellows throughout the year to support their academic progress and professional development
Grant Development
- Develops, implements, and maintains a sustainable system for identification of new funding opportunities that aligns with the CDM strategic vision
- Manages and contributes to development of proposals for grants and other externally funded programs
- Prepares detailed budgets, budget justifications, partner scopes of work, and additional supporting documents
Grant Management
In collaboration with the Director of Funded Projects:
- Monitors spending, including salary allocations and purchase commitments for all funded projects. Re-budgets as necessary and allowed throughout the grant cycle.
- Proactively monitors funds for potential challenges to ensure adherence to required elements of scopes of work and timely completion of deliverables in accordance with sponsor deadlines. Promptly notifies Director of Funded Projects of any potential issues.
- Provides leadership and oversight of Program Managers in the preparation of service contracts, and purchase orders and other aspects of their work as needed
- Leads and participates in the drafting of required reports

- Non-employees: Collaborate with external vendors hired to support grant-funded initiatives and program work, including supervision of work quality to meet targets established in Scopes of Work. Support the onboarding, mentorship, and supervision of interns or other experiential learns working on grant-funded programs in collaboration with the Director of Funded Projects.
Fiscal Responsibility:
Collects, analyzes and presents data as required. Develops and manages complex financial status reporting documents and processes. Ensures prudent fiscal management of department resources (e.g. equipment, supplies, etc.).
Working Conditions:
Normal office conditions with a hybrid work environment (at least 2 days/week on-site). May be required to travel to offsite facilities as needed. May occasionally be required to attend meetings outside of regularly scheduled hours and is available by pager/cell phone outside of normal business hours during assigned RDHRS Duty Officer shifts. May be required to report to the hospital or offsite locations outside of normal business hours to respond to events that require emergency support. May be required to work extended shifts for multiple periods during emergency events.
