Donnellon McCarthy Enterprises (DME) is seeking a self-motivated, creative, and independent Project Coordinator to join our growing IT department. This critical role involves acting as a liaison between IT technicians, sales, and the billing team to ensure accurate setup and management of projects and contracts. The ideal candidate will possess strong problem-solving skills, proficiency in Microsoft Office applications (especially Excel), and the ability to manage multiple projects simultaneously.
Responsibilities:
- Coordinate with internal billing teams for IT projects and services
- Monitor and track expenses related to IT projects, ensuring that costs are accurately recorded and reported.
- Maintain detailed documentation of billing processes, contracts, and financial transactions for audit purposes.
- Collaborate with sales, clients, and internal teams to gather relevant information for billing and resolve any billing-related queries.
- Review client contracts to understand billing terms, pricing structures, and any special conditions that may impact the billing process.
- Ensure that all billing activities comply with company policies, legal requirements, and industry standards. Accuracy in billing is crucial to avoid disputes and discrepancies.
- Monitor accounts receivable and follow up on overdue payments. Coordinate with the finance department to address any outstanding issues.
- Generate and analyze financial reports related to billing, providing insights and recommendations for improving financial processes.
- Utilize billing and financial management software or tools to streamline processes and maintain accurate records. Having an understanding of E-Automate, ConnectWise and/or Autotask is a plus.
- Address any discrepancies or billing issues promptly, collaborating with relevant stakeholders to find solutions.
- Coordinator may be asked to update marketing materials from time to time and help with events
