Administrative Assistant for Commercial General Contractor Project Manager

We specialize in New Construction, Ground Up Commercial Projects, Self Storage Facilities, Commercial Interior Renovations, Facade Renovations, and Tenant Improvements. We perform top quality construction work in PA, NJ, NY, MD, VA, and the remainder of the east coast states for projects ranging from $10,000.00 to $15,000,000.00
Busy commercial general contractor requires an administrative assistant to support the estimating and project management department.
Part time position, 20 to 25 hrs/week, with occasional weeks where up to 40 hrs could be required (with notice). There is potential for this position to become full time based on work awarded.
Duties include:
- Assisting the Estimators and Project Managers in day to day tasks, including preparing proposals and estimates for customers, writing, distributing, monitoring, receiving and filing subcontracts and material purchase orders.
- Receive, log and distribute project plans and submittals
- Develop and distribute ITB’s and solicit subcontractors and suppliers for project bids
- Post and monitor subcontractor solicitation apps
- Directly solicit subcontractors and suppliers to increase participation in the bidding process at the direction of the PM.
- Type proposals, ITB’s, RFI’s, subcontract documents, other correspondence
- Maintain subcontractor assignment lists
- Keep company subcontractor list up to date
- Type/distribute meeting minutes
Required skills:
- Excellent typing skills and editing/proofreading skills
- Proficiency in MS Office Suite, Word & Excel
- Knowledge of MS Project is a plus
- Knowledge of Procore PM software is a plus
- Must be comfortable using bid solicitation apps
- Must be able to work unsupervised
- Knowledge of the life cycle of a commercial construction project is a plus
- Requires attention to details and accuracy in work performed
- A pleasant office demeanor and a logical and progressive thought process are critical

Pay: $18.00 - $25.00 per hour
