Description:
Job Purpose:
The Office assistant will be responsible for acting as the primary receptionist, creating, and managing files, data entry for general accounting, and supporting other staff with organizational tasks.
Duties & Responsibilities:

Serves as the receptionist for the office, greeting visitors and applicants.

Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment.

Copies, sorts, and files records related to office activities, business transactions, and other matters.

Create and update records ensuring accuracy and validity of information.

Prepares letters, memos, forms, and reports according to written or verbal instructions.

Sorts incoming mail and delivers to appropriate department or individuals, processes outgoing mail.

Maintains filing systems either manually or electronically.

Perform data entry associated with general accounting.

Maintains the integrity and confidentiality of human resource files and records.

Provides administrative support to the HR & Quality departments.

Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations.

Handle data entry reporting and assist with data clean-up for assigned department manager(s).

Requirements:
Required Skills/Abilities:

Minimum High School Diploma or General Education Degree (GED)

Minimum 1-2 years’ administrative experience preferred.

Ability to type at least 45 words per minute.

Knowledge of “back-office” computer systems (ERP software), copiers, scanners, personal computers, and other standard office equipment.

Excellent organizational, time management, and attention to detail skills.
-
1-2 years’ experience with accounts payable or general accounting.

Analytical abilities and aptitude in problem-solving

Excellent written and verbal communication skills
Working Conditions:

The worker is subject to inside environmental conditions: Protection from weather conditions but not necessarily from temperature changes.
Physical Requirements:
-
Light work: Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects. If the use of arm and/or leg controls requires exertion of forces greater than that for Sedentary Work and the worker sits most of the time, the job is rated for Light Work.
Background Check: Employment will be dependent on the candidate successfully passing a background check.
