Our client is seeking an exceptional Executive Assistant to provide outstanding administrative and organizational support to their executive team. This role is vital in ensuring smooth operations, enhancing productivity, and facilitating effective decision-making. The successful candidate will manage schedules, coordinate communications, and handle a variety of tasks, contributing significantly to the overall success and strategic objectives of the organization.
Key responsibilities:
- Manage and optimize executive schedules, including meetings, appointments, and travel arrangements
- Coordinate and prioritize communications, including emails and phone calls
- Prepare meeting agendas, take minutes, and follow up on action items
- Assist in project management and ensure timely completion of tasks
- Handle confidential information with discretion and maintain a high level of professionalism
- Provide administrative support such as data entry, document preparation, and filing
- Troubleshoot basic IT issues and liaise with technical support as needed
- Conduct research and prepare reports to assist executives in decision-making
- Manage office supplies and maintain an organized work environment
Qualifications and experience required:
- Demonstrable experience in an executive assistant or similar administrative role
- Excellent verbal and written communication skills in English and Spanish
- Strong organizational skills with attention to detail
- Proficiency in Office Software (e.g., Microsoft Office, Google Workspace, Adobe, DocuSign)
- Familiarity with project management tools (e.g., Trello, Asana, Notion)
- Ability to multitask and prioritize effectively in a fast-paced environment
- Critical thinking and problem-solving skills
- Strong interpersonal skills with the ability to build relationships and collaborate with team members
- Professionalism, reliability, and integrity
- Flexibility to adapt to changing priorities and provide after-hours support as needed
Location: San Juan, Puerto Rico
Compensation: Up to $45,000 depending on experience plus discretionary bonus, paid vacation, health insurance and paid mileage.
