About the Role:
The Administrative Coordinator for the Tools for Tolerance (TFT) for Educators department and Corporate Programs is responsible for efficiently processing invoices and providing comprehensive administrative support. In this position, you will collaborate closely with key personnel to ensure smooth operations and effective program delivery. Your duties will encompass invoice preparation, coordination of catering and supply orders, facilitation of program logistics, and maintenance of essential documentation.
Key Responsibilities:
- Process invoices for review and approval by the Associate Director, Tools for Tolerance for Educators, ensuring accuracy and adherence to established procedures.
- Scan approved invoices for record-keeping purposes and forward them to the accounting department for payment processing.
- Collaborate with colleagues from the TFT Law Enforcement department to review printed checks before distribution.
- Assist with administrative tasks for the TFT Educators department, including placing coffee/catering orders and procuring program supplies.
- Support day-of programming activities by assisting with setup and cleanup tasks and maintaining team supply cabinet.
- Research quality vendors as needed for catering, deliveries, program supplies and additional items needed.
- Ensure timely submission of invoices and reimbursement requests to the accounting department following program completion.
- Assist in the maintenance and updating of facilitator agreements, speaker agreements, and Memorandums of Understanding (MOUs) as required.
Qualifications:
- Minimum of 2 years prior experience in administrative support roles, with proficiency in program support and accounts payable functions, including invoice processing and reimbursement requests.
Additional Requirements:
- Ability to assist with the set-up and breakdown of tables and chairs for programs. Demonstrated organizational skills, particularly in maintaining orderly supply cabinet spaces.
