Position Summary:
The Accounts Payable/Office Administrator will be responsible for managing accounts payable functions and providing general administrative support to ensure the smooth operation of our office. The ideal candidate will be detail-oriented, highly organized, and capable of multitasking in a fast-paced environment.
Key Responsibilities:
Accounts Payable Duties:
· Process and manage accounts payable transactions, including vendor invoices, expense reports, and payment requests.
· Reconcile accounts payable ledger to ensure all bills and payments are accounted for and properly posted.
· Review and verify invoices and check requests, ensuring proper documentation and approval.
· Prepare and process electronic transfers and payments.
· Communicate with vendors to resolve discrepancies and respond to inquiries.
· Assist in month-end closing activities and preparation of financial reports.
· Maintain accurate and organized accounts payable files and records.
Office Administration Duties:
· Provide general administrative support.
· Organize and maintain office supplies, equipment, and facilities.
· Manage incoming and outgoing mail and deliveries.
· Perform other related duties.
Qualifications:
· High school diploma or equivalent; Associate’s degree in Accounting, Finance, Business Administration, or related field preferred but not required.
· Minimum of 2 years of experience in accounts payable, bookkeeping, or related role.
· Proficiency in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word, Outlook).
· Strong organizational skills and attention to detail.
· Excellent communication and interpersonal skills.
· Ability to handle sensitive information with confidentiality and professionalism.
· Self-motivated with the ability to work independently and as part of a team.
Job Type: Full-time
Pay: $22.00 - $25.00 per hour
Expected hours: 40 per week
