A pharmaceutical company has engaged Hibbert to provide a Marketing Operations Manager providing services to the marketing operations team by coordinating tasks associated with the production of both print and digital promotional materials as well as tasks associated with the tracking and QC reviews of material for various campaigns/projects. An on-site presence of 4 days a week is desired in Chadds Ford PA /Wilmington DE.
The selected candidate will interact and collaborate with the commercial team (sales & marketing), marketing operations, and agencies on a weekly basis to gain awareness of all planned digital and print materials, providing planning insights into production/publishing cost and timelines/deadlines. Coordinate all distribution needs including material ordering and removal requests; ensure Food and Drug Administration Office of Prescription Drug Promotion (OPDP) compliance submission to Regulatory Affairs (“Regulatory”).
Specific Services to be provided include but not limited to:
- Coordinate the production proof reviews, and QC reviews post MLR (Medical/Legal/Regulatory) approval with the editor/proofreader, agency partners, and project originators. Follow up with agency partners (digital or print) on various tasks.
- Support all activities associated with the review and approval of promotional materials to ensure compliant and timely delivery.
- Work with other third-party agencies and vendors on the production of marketing materials, and resolution of key issues that may arise specifically related to production.
- Working with the marketing operations team, provide support by developing reports or other actions needed to ensure print/digital materials are managed and communicated appropriately for retirement or withdrawal.
- Show proficiency in creating applicable metrics and the associated analysis for business reviews and effectively support brand launches and audits,
- Provide inventory guidance and recommendations on reordering materials/refreshing/retiring/expiration.
- Route promotional materials throughout the review cycle in Veeva/PromoMats and provide necessary internal and external partner follow-up.
- Triage materials for appropriate review and provide guidance on submission readiness.
- Support Marketing Operations with the planning and scheduling of MLR meetings and assessing the offline and live reviews to determine the appropriate course of action.
- Support the MLR Managers with leading or scribing at MLR meetings or with other projects as needed.
- Ensure the appropriate proofreading/editorial review is conducted pre-MLR and post-MLR review.
- Manage material updates for product-
- Support the Managers of Marketing Operations with all aspects of the processes for proofing, distribution and dissemination, including but not limited to:
- Triage production proof reviews and assess the results of those reviews within the system.
- Follow-up with key stakeholders to assess the changes as a result of the proof-reviews and determine the appropriate course of action.
- Coordinate all distribution needs including material ordering and removal requests
- Provide reports to ensure materials are managed and communicated appropriately for retirement or withdrawal.
- Monitor promotional materials that have a value that requires reporting (per compliance regulations) and work with current guidelines and process for the tracking of costs.
- Ensure the electronic file for delivery of OPDP compliance submission information for all brands to Regulatory meets all eCTD guidelines from the FDA.
Requirements:
- 3 to 5 year’s of experience in a regulatory compliance environment.
- Pharmaceutical client experience desired.
- Strong project management skills.
