- Assist Team Lead with Maintaining Clinic Schedule for All Employees:
- Assist Lead as needed with the creation and management of the clinic schedule for all employees on the team, ensuring adequate coverage and efficient use of resources.
- Review Timecards:
- Review all timecards (on Monday mornings) for accuracy and make edits as necessary
- Conduct Regularly Scheduled L10 Meetings Using the EOS (Entrepreneurial Operating System) Outline:
- Organize and lead weekly/biweekly L10 meetings following the EOS framework to review progress, address issues, and align team efforts.
- Document action items and follow up on their completion.
- Set quarterly ROCKS for team and self.
- Ensure all team members have access to relevant information and can collaborate effectively.
- Utilize Asana Platform to Document Clinic Updates/Meetings:
- Use Asana to track and document clinic updates, meeting notes, and action items.
- Assist with the Orientation of New Employees and Ongoing Training to Existing Employees:
- Assist the Team Lead with conducting comprehensive orientation sessions for new hires to integrate them into the clinic’s workflow.
- Offer continuous training and development opportunities to existing staff to enhance their skills and knowledge.
- Confirm completion of all required orientation components within first 6 weeks of a new hire’s onboarding/training.
- Conduct Regular Chart Audits:
- Perform routine audits of patient charts to ensure accuracy, completeness, and compliance with standards.
- Provide feedback and training to staff based on audit findings.
- Conduct Annual Reviews for Staff:
- Perform annual performance reviews for all staff members with input from Team Lead.
- Provide constructive feedback, set goals, and discuss career development opportunities.
- Communication with Team Lead and Clinical Director:
- Maintain regular communication with the clinic’s Lead and the Clinical Director to report on clinic operations, staff performance, and other pertinent issues.
- Collaborate on strategic planning and implementation of clinic improvements.
8. Case management of OCIP/CCIP claims (on applicable sites):
- Participates in weekly, bi-weekly and quarterly claims reviews depending on site schedule.
- Facilitates obtaining the First Report of Injury and emailing that to the intake person for the insurance company.
- On going communication with adjusters and employer while claim is open (providing additional documents if needed, updating patient/worker’s condition, etc.).
By fulfilling these responsibilities, the Clinic Manager ensures the smooth operation of the clinic, promotes a positive work environment, and contributes to the overall success of the healthcare team.
