Job Description
Reporting to the Chief Development Officer (CDO), the Engagement and Stewardship Assistant is responsible for coordination of donor and partner engagement activities, special events, and cause marketing campaigns. Additionally, the Engagement and Stewardship Assistant performs a variety of administrative functions such as handling donor/partner/customer inquiries, requests and calls related to marketing and development, Resource Development data, reports, and administering donor databases and other software.
As part of the Resource Development team, the Engagement and Stewardship Assistant assists with the execution of engagement events with organizational supporters aimed at building relationships and cultivating engagement opportunities. The Engagement and Stewardship Assistant is also responsible for managing donor related data to include cause-marketing and volunteer engagements and author reports on those activities. The Engagement and Stewardship Assistant handles the recognition of donors at all levels of giving through a variety of forms including thank you letters. The essential job duties for this role include:
Events and Stewardship
- Plans, coordinates, and/or executes engagement events, community partner events, and volunteer events for the organization.
- Assists with donor stewardship data collection and reports to support Marketing and/or Development presentations related to corporate engagements, events and stewardship.
- Collaborates and communicates concisely within the Resource Development team and with other related BGCSNV departments/staff.
- Delivers an exceptional customer experience in all public facing events where attendees, partners, sponsors, staff, volunteers, and board members are present.
- Prepares and submits donor recap reports for engagement, stewardship, and/or volunteer events to BGCSNV community and corporate partners and internal executive leadership as needed.
- Reports on stewardship, engagement activities, and KPI’s quarterly or as otherwise directed.
- Helps with the procurement of auction items/giveaways for signature events and other events that support fundraising and development.
- Assists other BGCSNV departments with events, event planning, and event management when requested.
Administration and Data
- Logs and tracks donations, generates and distributes batch reports, leads record keeping activities related to giving, and responds to inquiries related to events, engagement, stewardship and development activities.
- Conducts any assigned research; manages resource development data input, recording, and tracking and reporting tools to include all CRM data, event data (engagements, auctions, giveaways, etc.), donor records, gift processing data, and key performance indicators for GiveSmart, Harness, and other related resource development platforms.
- Front line fielding of all Resource Development inquiries, emails, phone calls, and other communications.
- Utilizes an array of tracking tools, monitors monthly engagement events and related cause-marketing revenue for community partners and corporate volunteer events/engagements, and provides monthly reports on activities to the CDO and/or executive staff as directed.
- Schedules, organizes, and helps manage department meetings to include agendas, calendaring, RSVP/Regrets, recaps, minutes, and updates as needed.
- Prepares and delivers thank you letters or other recognition/acknowledgements to event sponsors, partners, vendors/suppliers, etc.
Other Duties
- May be required to assist with any BGCSNV events.
- May perform other duties as assigned.

- One year of experience in event management, relationship management/customer service, marketing or related field.
- At least one year of experience using relationship management technology such as databases and CRM software or similar related experience.
- Proficiency with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel, etc.) and Google productivity software.
- Working knowledge of fundraising tools and CRM systems such as Donor Perfect, OneCause, GiveSmart, Constant Contact, Harness, etc.
- Must be comfortable working in a cross-functional, fast-paced environment.
- Proven exceptional verbal and written communication skills. Proactive communicator with strong customer service skills, diplomacy, and sensitivity.
- Adaptive and agile with strong organizational skills. Able to learn quickly and apply insights to consistently elevate work quality.
- Able to work occasional irregular or extended hours
- Valid Nevada driver’s license and a safe driving record. Use of personal vehicles may be required with reimbursement for mileage at standard IRS rates.
