PRN (Per Diem)
Position Summary:
Responsible for meeting and greeting resident, guests, suppliers, vendors, and outside service providers in a warm and professional manner. Monitor visitors entering the building ensure they sign-in. Answer/transfer incoming phone calls and handle switchboard to respond to communication needs and inquiries. Keep environment of the lobby and front desk neat and clean. Maintain resident data, such as directories, information sheets, and other projects on the computer. May coordinate transportation for resident trips or outings.
Essential Job Functions:
- Provide ongoing switchboard coverage.
- Serve as concierge and greet guests, residents, vendors, suppliers, etc., either in person or on the telephone in a warm and professional manner.
- Solve issues presented by residents, guests, vendors, suppliers in a manner so that both the organizational objectives are met, as well as the individuals feel they were served appropriately, keep difficult situations from escalating.
- Accept packages delivered, documents receipt of packages in logbook, and notifies resident (recipient) of delivery.
- Distribute packages, business mail and magazines.
- Maintain visitor log-in sheets.
- Monitor closed circuit security TV cameras and fire alarm board, where applicable.
- Maintain security for admittance to all entries accessible to public.
- Prepare maintenance work orders as requested by residents and staff.
- Ensure lobby area is kept neat and clean. Picks up debris and keeps desk work area clutter free.
- Assemble marketing brochures and materials.
- Assist with resident sign in for Life Enrichment events or other functions as needed.
- Complete tasks on the computer such as inputting resident data, maintaining data bases, creating notice sheets, creating documents to be shown on the internal television channels.
- Maintain resident status list.
- Greet job prospects, provide job application, and explain next steps regarding interview process.

Education Required (Preferred):
- High School Diploma or equivalent in education, training experience.
Years/Months of Experience:
- Minimum of 1-year experience as Receptionist/Switchboard Operator
- Prefer experience in senior living environment.
Knowledge/Skills:
- The ability to speak, read and comprehend the English language.
- Knowledge of switchboard operations
- Ability to handle multiple tasks.
- Ability to solve problems in a calm manner.
- Familiarity with Microsoft Office Suite products
Special Requirements (if applicable):
- Doctor’s statement verifying employee is free from communicable disease.
