DUTIES AND RESPONSIBILITIES
Client Communication and Documentation:
1. Client Contract Management:
- Prepare, send, and track contracts and important documents to clients.
- Ensure that clients receive, understand, and return signed documents in a timely manner.
- Maintain an organized system for tracking contract statuses and follow-up dates.
2. Client Follow-Up and Support:
- Regularly follow up with clients regarding contract signing, inquiries, and any additional information required.
- Provide prompt and helpful responses to client queries and escalate complex issues to the appropriate team member.
3. Feedback Collection:
- Collect and document feedback from clients regarding their satisfaction with services.
- Report client feedback to management for quality improvement and client relationship strategies.
Insurance Claim Processing:
1. Claim Submission and Tracking:
- Prepare and submit insurance claims on behalf of clients or the company.
- Meticulously track the status of each claim and maintain organized records.
2. Liaison with Insurance Adjusters:
- Act as a point of contact with insurance adjusters.
- Follow up regularly on claim statuses and coordinate any additional documentation or information required.
3. Client Communication Regarding Claims:
- Keep clients informed about the progress of their insurance claims.
- Address any client concerns or questions regarding the claims process.
Document Management and Reporting:
1. Document Organization:
- Organize and maintain project-related documents, insurance documents, contracts, and communication records.
- Ensure that all documentation is up-to-date, filed correctly, and easily accessible.
2. Reporting Assistance:
- Assist in preparing status reports, financial summaries, and other relevant reports.
- Help in preparing presentations and briefs for meetings and client communications.
Administrative Support:
1. Meeting Coordination:
- Schedule and coordinate internal and external meetings.
- Prepare meeting agendas, take minutes, and ensure follow-up on action items.
2. General Administrative Duties:
- Perform general office duties such as answering phones, handling mail, and maintaining a clean and organized office environment.
QUALIFICATIONS & EXPECTATIONS

● Must have EXCELLENT computer skills – Proficient in Microsoft office and be able to learn a new data base software
● Work in a fast-paced environment
● Have to be a proven multi-tasker
● Experience with accounting/bookkeeping and collections is desirable
● Knowledge of Quickbooks & DASH is preferable but not required
- Must be able to pass a drug and background test.
EDUCATION
● High School Graduate or Equivalent
● Associates Degree in related field is preferred but not required
