Job Description-Administrative Coordinator (Full-Time)

The Administrative Coordinator will be a highly organized, detail-orientated, and analytical individual with exceptional communication and problem-solving skills. She/he will handle office duties and admin-related operations, ensuring all daily procedures run smoothly and deadlines are met.
Job Duties and Responsibilities:
· Facilitate daily high-level processes of the organization by providing support to executive-level employees in the organization and perform tasks on their behalf
· Schedule and facilitate internal and external meetings-provide agendas, notes, action items, and ensure follow-up
· Direct administrative productivity in accordance with management directives
· Generate presentations, spreadsheets, and reports
· Manage current systems and processes.
· Offers creative solutions for the improvement of business systems, procedures, and policies to ensure smooth daily operations
· Building and maintaining relationships for Omnilight
· Facilitate communication between internal and external stakeholders-address employees’ and clients’ inquiries via various forms of communication (i.e. phone, email etc.)
· Organize and keep track of documents, records, and conversations
· Maintain effective workflows in the organization through efficient management across various departments
· Assist HR in hiring, supervising, and evaluating staff members
· Delegate/assign tasks to the appropriate party and ensure they are completed in accordance with existing policies and procedures
· Answer questions and find information for employees, vendors, clients, and lenders
· Ensure that the office is well-maintained and organized
· Assist with special projects as needed
· Other duties as assigned
Requirements:
· At least 3 years’ experience in the administrative support field
· Meticulous approach to administrative tasks
· Strong attention to detail
· Exceptional interpersonal written and verbal communication skills
· Creative and strong problem-solving skills
· Strong organizational and time management skills with the ability to prioritize tasks
· Solid presentation skills
· Basic math abilities and an understanding of financial concepts
· Personable/Approachable
· Ability to build relationships
· Leadership skills
· Proficient in Office 350/computer software
