Position Title: Project Manager Assistant
Position Type: Full-time, Non-exempt
Position Location: New Brighton, MN
Belair is searching for an experienced Project Manager Assistant for the Minnesota location. This position will report to the CFO; ensure adherence with standard processes; monitor and improve delivery performance; and provide support and guidance to the Project Managers.
Qualifications:
· Attention to detail and high level of accuracy.
· 3+ years working in the construction industry.
· Ability to organize and prioritize responsibilities.
· Strong problem-solving skills, basic accounting principles knowledge, documentation skills, research, and resolution skills.
· Excellent verbal and written communication.
· Proficiency in Microsoft applications, particularly Excel.
· Ability to function as an integral team member, working under time constraints and meeting deadlines in a changing environment.
· Ability to take initiative and work independently with minimal supervision.
· Knowledge of Viewpoint and Heavy Job software is a plus.
The Project Manager Assistant is responsible for the following activities:
- Assist the Project Managers with the job start up process.
- Completing the Transition Checklist items
- Assemble Field Superintendent booklets.
- Ensure proper Certificates of Insurance, W9 and Safety Information are obtained prior to Sub-Contractors being on site.
- Verify budgets are correct and preplanning checklists are completed prior to job start.
Construction Process
- Schedule and facilitate bi-weekly projection meetings. Ensure information is available and correct before the meetings start.
- Review bi-weekly job analysis with Project Manager to include:
- Updating projection
- Reviewing unapproved Accounts Payable invoices
- Review of tracking spreadsheets
- Maintain customer and subcontractor contract amounts and change orders.
- Prepare and monitor ongoing Purchase Orders and Subcontracts as needed.
- Ensure that invoicing from Vendors and Subcontractors agree with quotes.
- Construction Billing to include:
- Maintain information necessary for proper tracking and billing to the customer.
- Timely and accurate submittal of RCO’s (Responsible Contractor Ordinance) invoiced to customers weekly.
- Generate customer AIA and T&M invoices.
- Attend monthly Open EWO and RCO meetings.
- Assist in collection of RCO’s.
Job Close out process.
- Schedule Close Out meetings with appropriate personnel to complete Transition Checklist.
· Additional duties as assigned by Senior Project Accountant or CFO.
