Position Summary:
The Sales Administrative Assistant will work directly with members of the Sales Team to assist in daily operations, as well as to facilitate strategic goals for the Sales and Marketing department. This position is responsible for daily clerical duties, managerial follow-up on various directives, organizational duties, and supporting productivity and efficiency efforts for the Sales Team. The Sales Administrative Assistant will also be responsible for documenting meeting minutes, data entry, scheduling, and keeping administrative functions in working order. The Sales Administrative Assistant should be a highly motivated self-starter with a proactive approach and impeccable organization and attention-to-detail.
Essential Duties and Responsibilities:
- Perform daily clerical duties (i.e. scanning/faxing documents, making phone calls, filing and organization).
- Provide consistent, concise, accurate internal and external communications, serving as the liaison between the Sales Team and other departments, as well as with external clients/colleagues.
- Provide immediate and direct support to the Sales Team.
- Follow up on managerial directives from the VP/CSO.
- Print and prepare concise, accurate reports and various documentation, as needed.
- Maintain accurate records and data entry.
- Organize, schedule, and coordinate meetings and events as needed.
- Record detailed, accurate meeting minutes and provide copies to all involved parties.
- Develop, implement, and follow through on new processes and SOPs.
- Assist with other tasks and assignments as needed.
Additional Responsibilities include:
- Assist sales team in properly building quotes for review with sales manager
- Assist sales team in properly creating proposals to review with client
- Establish updated client facing materials with marketing dept
- Establish process flow guides for new/current processes
- Review and revise old process flows guides
- Templatize repeatable functions/processes
- Maintain and review monthly/quarterly client reporting (network scans, etc.

- Advanced knowledge of Microsoft Office Suite, including Excel and Outlook.
- Ability to create and maintain ad hoc reports, records, and spread sheets.
- Strong phone skills; friendly while maintaining professionalism
- Must have reliable means of transportation.
- Must be able to pass a 7-year criminal background check.
Education and Experience:
- High School Diploma required.
- 1-2 years’ experience in a clerical or administrative support role preferred.
- 1-2 years’ experience in customer service preferred.
Physical Requirements and Working Conditions:
Must possess the mobility to work in a standard office setting (on site or off), and to use standard office equipment, including a computer, concentration to maintain attention to detail despite interruptions, strength to lift and carry objects weighing up to 50 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and/ or over the telephone. Must be able to sit/stand for extended periods of time. Must be able to drive a motorized vehicle.
