The University of Illinois at Chicago is seeking a Director of Recruitment Operations to serve as an internal consultant and project manager to the Strategic Recruitment and Outreach office and to campus partners that use the Customer Relationship Management (CRM) system in the operations of recruitment of prospective undergraduate students. The goal of the position will ensure that the CRM tool is continuously developed to maximize the potential of the technology, serve the goals and align the strategy of the Strategic Recruitment & Outreach unit and campus partners.
Duties & Responsibilities
- Leads the processes required for maintenance, continuous development and documentation for lead generation, event, forms and outreach communication.
- Serves as the primary trainer for recruitment staff and campus recruitment partners, providing ongoing training for both current and future Slate processes focusing on maximizing the knowledge and abilities of the end user within Slate.
- Drafts CRM policy, processes, and criteria for access.
- Analyzes enrollment metrics and liaises with colleges on the prospective student pool, deadlines, and criteria.
- Develops and implements strategies for the use of changing admissions technologies including Slate (Technolutions) from an end-user perspective.
- Prepares researched software and systems recommendations and coordinates the development and testing of all technologies.
- As an internal consultant, serves as functional expert on the CRM software's functionality and utilizes knowledge of the system and recruitment and communication practices to influence office operations (such as school visits, events management, querying, reporting, communications) and practices in order to influence the office's optimal usage of the tool's functionality and the achievement of the recruitment’s metrics and goals.
- Coordinates university policy with regards to recruitment data and search, recruitment technology systems, departmental access and enrollment management. Engages continual process improvement of CRM, collaborate with OSSS, Enrollment Management and campus partners in areas of recruitment, communications, web, and information technology. Provides vision and leadership to oversee large modernization projects within the university related to admissions technology systems. Manages various projects to improve effectiveness of operation.
- Drafts communications to campus with regards to recruitment CRM data and access. Delivers recruitment-related technology solutions to campus partners.
- Oversees lead purchase processes and integration, monitors and develops recommendations for best practices in lead generation and data maintenance, and leads ongoing development and implementation of new Slate features and initiatives. Oversee implementation of currently planned or future vendor-based recruitment systems.
- Monitors, assesses and makes recommendations to improve the recruitment team’s usage of Slate CRM to drive engagement. Focuses on new, and the improvement of existing processes that allow for better customer service, recruitment workflow, and the recruitment experience for both external stakeholders (students, their parents, etc.) and internal campus partners.
- Acts as lead project manager for special initiatives for recruitment where technology can play a significant role, assist in project scoping and business requirements gathering. Brings technology-focused best practices to all Slate activities by understanding system interdependencies and manage and collaborate with project teams accordingly.
- Assists the Executive Director of Strategic Recruitment and Outreach in the establishment of key metrics that drive funnel conversion and key performance indicators for staff and establish reporting and dashboards to monitor those metrics.
- Develops robust and flexible templates for events, communications, and lead generation forms and other tools, providing room for flexibility, while maintaining consistency across different users.
- Provides support to Strategic Recruitment and Outreach management and college partners in event and scheduling process management, query and report development, drip communication campaign, workflow maintenance, dataset uploads, integrations with campus systems, and the establishment of key metrics that drive funnel conversion and key performance indicators for staff and establish reporting and dashboards to monitor those metrics.
- Establishes practices to regularly maintain and update prompts, fields, forms, templates, and transactional communications.
- Actively listens to concerns, provide feedback and implement changes and customizations through project management methods.
- Learns, develops and improves understanding of the CRM and be able to translate the understanding meaningfully to front end users of the tool.
- Collects, writes, and manages a library of front end-work processes as well as backend development details.
- Provide training to staff as necessary.
- Perform other related duties and participate in special projects as assigned.
Minimum Qualifications
A Master’s degree required or Bachelor's degree with commensurate experience.
Minimum of ten years of progressive experience in a complex educational
setting with admissions or higher education administration, with a focus on recruitment and communications.
Preferred Qualifications
Proven track record with project management.
Established track record in meeting admissions and enrollment goals. Substantial
experience working with the Slate CRM.
Substantial experience developing, interpreting, and presenting statistical data from
reports.
Excellent verbal, written, and interpersonal communications skills to effectively and
professionally interact, negotiate, mediate, and/or collaborate with diverse internal
and external populations.
Ability and skills to effectively lead, manage, and supervise staff.
