General Summary:
This position is responsible for the planning, implementation and tracking of two major fundraising special events during the year; and 3-6 mini fundraising events.
Principal Duties and Responsibilities:
Major Special Events
- Provide a budget for each event and ensure the committee/volunteers stay within the budget
- Provide a detailed event checklist to the committee/volunteers
- Maintain lists of vendors, sponsors, etc. for each event
- Mail/email save the dates, invitations, etc.
- Ensure materials are printed as needed
- Record and keep minutes of committee meetings
- Supervise the use of volunteers to plan and execute two primary fundraising events each year. Volunteer tasks include, but are not limited to:
- · Utilizing the event checklist to ensure all event tasks are appropriately assigned and completed timely
- · Name and design the theme for each event
- · Set the date and location of each event
- · Arrange for catering, event personnel, venue, etc. within the provided budget.
- · Generate invitations, programs and other event designs
- · Obtain event sponsor commitments
- · Obtain in-kind items/baskets for the events
- · Organize the setup and takedown of materials, event location, etc.
- · Organize volunteers for the day of the events
Mini Events:
- Plan, coordinate and implement 3-6 mini-fundraising events each year, such as donor breakfasts or presentations at local venues/organizations
- Provide materials for mini event presentations
- Maintain lists of attendees and outcomes for each event
Other duties as assigned
Knowledge, Skills And Abilities:
- Associate or bachelor’s degree in marketing, business administration, or related field or equivalent education and/or experience is preferred.
- A minimum of two years event planning and management is preferred.
- Proficient skills with computer including MS Office
- Excellent written and verbal communication skills.
- Project management and organizational skills.
- Ability to manage pressures involved in meeting frequent deadlines.
- Ability to garner support and engagement across stakeholder groups
Working Conditions
Generally works in an office environment where there are minimal hazards and infrequent environmental changes. The nature of the work may require frequent walking, standing, driving, etc. This position will be required to support events and meet with committees at other work sites or locations.
Job Type: Part-time
Expected hours: 18 – 24 per week
