Rita's Hospitality Group is looking for an experienced Catering Event Coordinator to assist our Sales team to execute excellent events. You will be responsible for assisting in every aspect of an event, from venue siting to reviewing post event notes. An event coordinator must be well-organized and competent in client and venue management. Communication skills and attention to detail will set apart the best among the candidates. Responsibilities
- Understand requirements for each event
- Review events schedule twice a week and evaluate staffing needs for each event with the Sales team, scheduling in NOWSTA database accordingly
- Communicating with vendors to ensure all material or staffing needs are met for time of event
- Plan event with attention to financial and time constraints
- Work with Sales team and their clients to schedule venue visits and establish a floorplan for your setup team ahead of each event
- Establish an understanding of pre-existing vendor offerings (catering decor, alcohol, etc.) and assist in choosing the best combination of quality and cost for the customer/event with Sales
- Manage event staff both during off-premise events as well as during delivery van pack-outs and drop-offs
- Manage commissary staff to execute orders in an accurate and timely fashion that is presentable for each event
- Assist in evaluating new personnel to hire as well as training new personnel to improve order execution efficiency
- Manage all event operations by conferring with Driver/ Dock Manager and Operations Manager to ensure all catering items needed are ordered ahead of time and curated according to client specifications
- Do final checks at the day of the event (e.g. tables, food) to ensure everything meets Rita's high standards
- Oversee event happenings and act quickly to resolve problems as they arise
- Evaluate event’s success and submit reports post event to inform the Sales and Ops team on where improvements can be made for the future
Skills
- Proven experience as event coordinator or a track record of organizing successful events
- Proficient in MS Office
- Familiarity with Caterease is a bonus
- Excellent communication skills with client and vendor management
- Knowledge of basic recruitment practices
- Attention to detail and delegation skills
- Must be well organized and comfortable with multi-tasking
- Able to handle stress and remain calm in fast-paced and demanding work environments
- Problem-solving ability
- Degree in hospitality management, public relations or relevant field is preferred
