Summary
To assist Executive Management in all administrative related activities.
General Responsibilities
- Accurately and timely scans, photocopies and distributes all documents
- Open mail and processes incoming correspondence(s).
- Effectively maintains and organizes supervisor(s) calendar(s)
- Timely and accurately creates and processes monthly expense reports.
- Prepares timely agendas and records minutes.
- Maintains Industry Association memberships
- Coordinates event planning, participation and setup
- Files for Local Business tax renewals, Municipal systems registrations and reporting
- Process applications for industry Awards
- Effectively coordinates travel arrangements – hotel, car rental, and reservation itineraries.
- Accurately dictates and prepares documentation.
- Assures that collection of daily/weekly/monthly data reports are received by required submitters and follows up consistently with both verbal and written correspondence.
- Effectively compiles and updates for Policies and Procedures Manual and databases, as required.
- Timely obtains contact information, enters contacts into databases/Outlook and consistently maintains an up-to-date directory as needed by the supervisor.
- Effectively and consistently assures sufficient stock of office supplies and other materials.
- Organizes and maintains all files and computer directories in accordance with corporate policy.
- Assist with setup of desktop, laptop and other technology device setups
- Opens accounts with Mobile/Internet Service providers for the field
- Reviews and processes IT-related invoices
- Assists with all property Management and Maintenance issues
- Requests and distributes parking decals and fobs
- Reception Management. Host and handle office visitors (Offer refreshments: Provide snacks, drinks, coffee, tea, or water, etc.)
- Other duties as assigned
Administrative Responsibilities
- Exhibits proficiency in answering/forwarding/taking messages and answering routine questions by phone with consistent follow up as necessary.
- Shows the ability to type 40-50 WPM with a high level of accuracy, including taking dictation
- Excellent written and oral communications. Is able to produce draft correspondence from handwritten notes or by oral dictation.
- Shows proficiency with Microsoft Office Suite; including Word, Excel, Outlook, Power point.
- Shows proficiency with Canva
- Shows proficiency with social Media content production and posts
- Computer savvy (Hardware and Office software)
- Shows high level of organization skills; maintaining an organized, clean and professional office environment.
- Able to work independently and interact with other departments.
- Strong analytical and technical capacity.
- Ability to work under stressful situations in a rational manner.
- Able to maintain confidentiality about all information and documentation.
Qualifications and Experience
- AA or AS degree in Business related course of work.
- Five (5) years working with Senior Executive Management (desired).
- Three (3) Three (3) years working in construction/engineering/architecture related field with emphasis on cost (desirable).
