Responsibilities:
· Strong administrative skills including but not limited to the following: basic bookkeeping, managing multiple deadlines, managing calendars, organizing and filing documents, composing documents on word or reports on excel, scanning, faxing, emailing, answering phones, relaying messages etc.
· Manage a robust filing system that entails financial, business, and personal related documents in accordance with federal, state and local agency requirements
· Must be a team player supporting the entire office as a whole: run errands as needed to Whole Foods, FedEx, post office, etc. and occasionally perform light food preparation and surface cleaning and setting up for special events
· Support Financial Business Manager and Accountant with locating documents and updating filing system
· Perform light bookkeeping tasks i.e. process, update and maintain accounts payables/receivables, verify approvals on vendor invoices and check requests, and prepare timely, accurate reconciliations, and journal entries in Quickbooks
· Organize and post invoices, credit card receipts, cash receipts, banking deposits and withdrawals
· Handle incoming calls and other communications
· Organize and light clean common areas and staff office including desks, cabinets, and shelving units
· Maintain office supplies inventory and replenish as needed
· Adapt to the everchanging pace and environment, whether it is fast paced or waiting with readiness
· Ability to adapt and be flexible to multiple roles and balance multiple, diverse tasks while maintaining accuracy
· Ensure the office and operations run smoothly by assisting and interjecting when necessary and willingly perform other duties as assigned that may be outside the typical office assistant role
· Exhibit integrity in character, maintaining the highest level of confidentiality.
Requirements:
· Strong computer skills and ability to operate general office equipment
· Proficiency with Microsoft Office: Excel and Word specifically
· Pass a full background check
· Legally able to work in the U.S.
· Speak fluent English (Spanish is a plus)
· Must have valid driver’s license and own reliable transportation
Preferred not required:
· Proficiency with QuickBooks
· Proficiency with Outlook
· Financial, accounting, and/or business background
· Proficiency with Google Suite
