Job Title: Administrative Coordinator

Reports To: Vice President, Human Resources
FLSA Status: Exempt (Salaried)
Summary: This position is primarily responsible for performing clerical and administrative functions for the corporate, legal and marketing teams. This position is also tasked with maintaining an efficient, friendly and productive office environment.
Essential Duties and Responsibilities include the following. Other duties may be assigned.

Order and maintain office supplies and inventory for Illinois bank branches including all office supplies, forms, keys, business cards, kitchen supplies, coffee and water.

Sort and deliver mail daily. Collect and distribute packages daily.

Act as the liaison between current employees and building management at Oak Brook office.

Maintain office equipment; ensures that printers/fax machines have toner. Call for repairs on equipment when necessary.

Maintain and organize offsite storage facility including sending boxes offsite and coordinating the destruction of boxes.

Manage executive and Board of Directors meeting logistics including preparing agendas, meeting materials, and coordinating meeting space reservations and technology requirements. Compile, copy, and distribute monthly Board of Directors’ and committee meeting packages.

Draft/prepare internal staff communications, correspondence, reports, and PowerPoint presentations. As well as answer non-routine correspondence and assemble highly confidential and sensitive information.

Support the Bank’s Legal Department by responding to subpoenas, levies, and liens.

Assist marketing team ordering and distributing promotional items for bank sponsored events and in-branch print materials.

Assist retail team in ordering and compiling New Account Gift Bags.

Manage sponsorship and donation requests. Maintain a file of all sponsorships and donations approved.

Maintain a log of keys; periodically perform key audits.

Assist Human Resources with parties, lunches, and celebrations including planning, set -up and clean-up.

Associate degree or equivalent work experience.

Excellent verbal and written communication skills.

Computer Skills
Proficient in Microsoft Word, Excel, PowerPoint and Outlook. General working knowledge of internet-based applications.
