Role Summary
Lucid is seeking an Office Manager to provide administrative support across a broad set of functions within the company. This is a new position reporting to the Controller. As a key member of Lucid’s growing team, the Office Manager will perform a variety of duties in the finance and accounting, customer service, executive management, operations and engineering departments as well as duties that impact the entire company. While the Office Manager will have an initial set of defined duties, the role will require flexibility, creativity, personal organization and a learning approach as the role evolves to provide administrative leverage to engineers and scientists to enable the company’s small team to attain a high degree of success.
Key (Initial) Responsibilities Include:
- Monitor email and collect USPS inbound mail; triage, route, scan and store as appropriate
- Create purchase orders from vendor quotes, as requested by operations director
- Enter invoices from vendors into QuickBooks
- Using reports from company’s order management system, prepare customer invoices in QuickBooks and update various tracking tools for KPI reporting
- Using reports from the company's returns management system, update various tracking tools regarding device replacements shipped, devices returned for warranty, etc.
- Prepare “polished” packaging for shippable finished products
- Prepare sold-product sets for sending by overnight carrier to customers and recording those shipments in the order management system
- Collect inbound overnight carrier packages from building services and distribute to recipients
Education, Qualifications and Professional Experience:
- High school diploma or equivalent required; Associate Degree or higher preferred
- Five years experience or more in a commercial business environment
- Organized approach to work with high attention to detail and adherence to procedures
- Ability to balance tasks across multiple business areas with an openness to communicate transparently about work balance and status
- Good computer skills using spreadsheets, accounting software and business email with the ability to learn new applications
This is a full-time, on-site role at Lucid Scientific.
Job Type: Full-time
Pay: $26.00 - $28.00 per hour
