Summary:
The role of the Intermediate Administrative Assistant is to provide comprehensive administrative support to the Environmental Energy Group SVP including schedule coordination and also support other staff within the Environmental Energy Group for administrative matters.
Working under the guidance of the SVP and Vice Presidents, the Intermediate Administrative Assistant is responsible for providing support to all staff in the Environmental Energy Group, especially the New Power Generation Fuel Department, Biofuel & E-fuel Business Department, and related company, carrying out necessary administrative works, and coordinating events.
Responsibilities:
- Providing assistance to the group for managing CEO and SVP’s daily activities;
- Managing the CEO and SVP’s calendar and coordinating meetings, business trips, and appointments;
- Managing and executing the CEO and SVP’s Concur-based work. Conducting reimbursements of expenses, such as transportation, travel, entertainment, etc. for CEO and SVP; and
- Providing a high-level of assistance for any requests from the CEO and SVP.
Under the supervision of the Vice Presidents of Environmental Energy Group, the Administrative Assistant provides administrative support to the staff of the New Power Generation Fuel Department and the BioFuel & E-fuel Business Department as follows :
- Assists with filing electronic and paper documents;
- Assist with business trip arrangements for both the New Power Generation Fuel Department and the BioFuel & E-fuel Business Department and business travelers from other affiliates;
- Assist with external customers/partners to arrange all necessary scheduling and logistics such as hotel, limousine, restaurant reservation, and meeting events;
- Assist with the settlement of expenses, including creating, reviewing, and submitting reports;
- Assist with the annual budgeting for the group;
- Assist with making appointments and scheduling including booking meeting rooms and meal venues;
- Assist with purchasing department supplies;
- Process Information Service Fees for HQs including preparation; and
- Work on invoices
- Coordinate and support another administrative person to assist administrative work of the Environmental Energy Group
Required:
- Familiarity with travel logistics, including booking flights, accommodations, and transportation arrangements.
- Experience in scheduling, including coordinating calendars and managing appointments.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Qualifications:

Fluent in Japanese [Reading, Writing, and Speaking]

1-3 years Administrative Assistant experience

Previous experience in a Japanese company is preferred.

Strong attention to detail and the ability to prioritize tasks effectively.

Excellent organizational and time management skills.
