POSITION SUMMARY
The Scheduling Coordinator will review install projects and update luminary with notes and mark as install complete. Will call AHJ’s and schedule inspections for completed projects, coordinate Inspection results, and follow up on reinspects as required. Will work under the direct supervision of the Chief Operations Officer.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Provides support for the department. In addition to other duties as assigned, will book Hotel requests through the Hotel Engine app and coordinate results with the appropriate team members (always looking for the best properties at the fairest prices). Will coordinate Hotel transactions with the appropriate managers. Will act as a liaison between the Solar Project managers and the office sending requested information, materials and general support needs as required. Will offer support for fleet as needed to ferry vehicles to the needed field teams when needed. Will coordinate field & customer issues with the teams, and managers through detailed notes in Luminary.
Examples of Work:
- Tracks customer responses and documents information in a spreadsheet report each Friday that offers a clear view of what is being done correctly and where changes may be needed.
- Assists the scheduling coordinator when needed to help in building and maintaining a comprehensive install schedule.
- Assists all construction departments with local, city, and state licensing, certifications as well as renewals and apprenticeship applications.
- Responsible for accurately tracking costs associated with specific aspects of projects.
- Coordinates with warehouse managers, scheduling coordinator and field project managers in identifying essential materials needed for truck stock, consumables and daily projects acting as a liaison between both to keep an accurate accounting, stocking, and ordering of essential items.
- Coordinates material pickups and deliveries as needed for Hubs regarding materials and truck stock needed for building and installing solar systems.
- Assists account managers as required for special project permitting needs when notified.
- Assists team members when needed to fill in for time off, vacations, or medical events.
- Calls and schedules utility markings prior to scheduling and project trenching.
- Facilitates reminder calls to customers to verify solar projects are ready to install on scheduled dates.
- Facilitates final completion calls to the customer to gauge teams’ performance on key metrics, completed work, code compliance, customer satisfaction and reviews.
- Collects pertinent data from completed projects to verify incentive and scorecard data is complete and accurate on a daily basis.
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); or 2 years of experience as an administrative assistant or office support specialist and/or training; or equivalent combination of education and experience. Experience in office management systems and procedures, excellent time management skills, and ability to multi-task and prioritize work.
CERTIFICATES, LICENSES, REGISTRATIONS
Must have to ability to obtain and maintain a valid driver’s license.
Pay based on experience
