The Receptionist/Administrative Assistant is responsible for providing general office support with a variety of clerical activities and related tasks. The Receptionist/Administrative Assistant is responsible for answering incoming calls, directing calls to appropriate people, distributing mail, and some clerical duties.
Essential Duties and Responsibilities
- Answers incoming calls and directs caller to appropriate person or takes and relays messages.
- Greets and directs visitors to the company.
- Provides callers with information such as company address, directions to company location, company fax numbers, company website and other related information.
- Receives, sorts and forwards incoming mail.
- Assists Sales Coordinators with billing and invoicing duties as required.
- Maintains company resources, including company calendar, conference bridges and conference rooms.
- Assists with administrative duties as assigned by Director of Business Operations.
- Performs other related duties as required.
Requirements
- Excellent verbal and written communication skills. Possess exceptional interpersonal communication skills.
- Excellent phone etiquette.
- Ability to work independently on assigned tasks as well as to accept direction on given assignments.
- Strong organizational skills.
- Ability to work collectively with the customer service/administrative team.
- Proficiency with Microsoft Office applications; ability to operate standard office equipment such as fax machine, copier, calculator, etc.
- Bilingual
Education/Experience/Training
High School Diploma or equivalent and 1 year of related experience; or any combination of education and experience sufficient to successfully perform the essential duties of the job as listed above.
