Part-Time Program Coordinator Job Description
JOB SUMMARY: The Math Motivators (MM) Program Coordinator will be the primary contact person for The Actuarial Foundation (TAF) in their respective city. They will manage relationships and coordinate logistics and communication with volunteers, schools, community organizations, etc. in their assigned locations. In addition, they will have a working knowledge of other math tutoring programs in their area.
The Program Coordinator will report to and have guidance and support from their Math Motivators Program Specialist to accomplish any or all the following responsibilities as assigned:
Interaction with Schools (5th to 12th grade) and Community Organizations
· In coordination with Full-Time MM Coordinator:
o Meet with school/community organization administration and key personnel to discuss which classes/groups need tutors, and which days, times and number of tutors are needed each day.
o Ensure schools/community organizations are a safe environment for tutors.
o Coordinate and execute the communication and requirements of the school’s/organization’s volunteer and visitor policy (background checks, forms to fill out, etc.).
o Gather feedback and data from teachers and tutors to assess what is working and what is not for evaluation purposes.
o Implement and conduct standardized testing prep sessions where applicable.
o Train and mentor tutors, and lead by example through demonstrative tutoring or coaching.
Interaction with Colleges/Corporations
· In coordination with MM Specialist:
o Work with head of all STEM programs/leaders to recruit tutors.
o Organize and conduct meetings to present concepts and recruit prospective tutors.
o Work with head of program/department to send out information about locations, days and times tutors are needed both locally and with the VTC.
o Foster appreciation/networking for college tutors and professional tutors.
Program Coordination
· In coordination with MM Specialist:
o Facilitate volunteer recruitment efforts through local events, online resources and coordination with team members.
o Report volunteer recruitment efforts and placement results regularly through established systems and work in collaboration with the Program Coordinator who manages our volunteer systems.
o Communicate with volunteers and staff around status and availability of volunteers.
o Create re-occurrence templates, instances, and events for your programs, utilizing VolunteerHub volunteer management system for which you will be made a system administrator.
o Create tutors’ schedules and track tutor and student attendance.
o Email the schedule to the tutor, teacher, school/center administrators and university contact.
o Be aware of school and/or organization calendars and changes in schedules and communicate the information to tutors (snow day, PD day, holidays or other program conflicts, etc.).
o Become familiar with your area’s standardized testing, and if necessary, make modifications to the prep course curriculum in collaboration with the Implementation Specialist.
o Host tutor orientations on how to conduct individualized sessions in your area.
o Use VolunteerHub to register tutors for programs and record their hours,
o Search for tutors to support your programs and run reports.
o Submit weekly status reports to the Master Workbook.
o Attend weekly check-in meetings with your direct supervisor.
o Recommend expansion efforts for the schools in your assigned location and present recruitment strategy for volunteers.
o Find and pursue partnerships in your assigned location.
o Follow The Actuarial Foundation guidelines for submitting time sheets, expenses, and mileage reimbursement.
TRAVEL: The P/T Program Coordinator position requires travel within your assigned region for: in-person tutoring programs (some may be virtual); recruitment efforts; conferences/trade shows; and/or relationship building with schools, universities, community organizations and corporations. Expected travel is 10%. Travel time and mileage expenses are fully reimbursed.
EDUCATION/EXPERIENCE: (an equivalent amount of training, education and experience will be considered). A bachelor’s degree and 3-5 years work-related experience in volunteer recruitment and/or business development/sales is preferred. Experience in a math-related field, education tutoring or teaching math, and project management are a plus.

· Ability to travel with reliable transportation weekly to schools for in-person programs, recruiting efforts and/or other opportunities

COMPENSATION
Salary: $25.00 per hour
Schedule: P/T (up to 20 hours/week depending on assigned location)
Varies Monday to Thursday (occasionally Friday/Saturday)
Work Location: Hybrid (WFH + Travel)
