Job Summary
Responsible for front office operations. A Patient Access Representative, or Medical Office Assistant, provides administrative support in a variety of medical settings. Their duties include clerical work, patient assistance, and recordkeeping. Administrative duties may include scheduling appointments, maintaining medical records, billing, and coding information for insurance purposes.
Job Duties & Responsibilities
- Greet and assist patients promptly and courteously.
- Accurately enter all new patient demographics. into the electronic medical record and updates patient information as needed. Handles patient information according to HIPAA Policies and Procedures.
- Obtain and verify patient insurance and photo identification cards. · Collect payments, co-pays, or coinsurance from patients according to financial policy. ·
- Inform patients of the company’s Practice Policies and address patient concerns or questions. ·
- Assist walk-in patients requesting same-day appointments or refill requests according to office policy. ·
- Direct patients to the proper location within the office. ·
- Edit electronic medical records to add patient-specific alerts or global alerts as needed to indicate a specific need of the patient including advanced directive, disability, etc. ·
- Document all patient communication clearly and efficiently. ·
- Give patients a written copy of the care plan, visit summary, and payment receipt, after each visit. Be available to answer any questions or concerns the patient may have regarding their visit. ·
- Key all office charges/payments into the electronic medical record system. Balance charges, payments, and adjustments within the electronic medical record system daily. ·
- Review charge slip and electronic medical record system to ensure proper charges are captured while ensuring coding is correct. ·
- Close out the credit card system, daily. Reconcile cash drawer every morning and afternoon or during shift change by preparing cash and daily deposit report. ·
- Schedule office appointments according to office policy. Communicate appointment time, place, and pretesting protocol with the patient. · Clean and maintain an orderly waiting area. ·
- Assist in keeping the office and related equipment clean, orderly, and properly stored. ·
- Assist in keeping an adequate supply of office forms available and notifies an appropriate person when needed. ·
- Assist in orientation and training of new employees. ·
- Works extra if needed to meet the needs of the patients and office. ·
- Willing to attend any workshops or seminars that are beneficial to maintaining and upgrading office policies. ·
- Performs other duties as requested by the physicians and Practice Director.

Minimum Education
- High School Diploma or Completion of a GED required.
Minimum Work Experience
- Two or more years of experience working in a healthcare setting preferred.
Physical Requirements
- Full range of body motion including handling and lifting patients, manual finger dexterity, and eye-hand coordination.
- Standing and walking for extensive periods of time.
- Occasionally lift and carry items weighing up to 100 pounds.
- Corrected vision and hearing to normal range.
- Exposure to communicable diseases or body fluids.
