1. The Administrative Coordinator reports to the Director of Redmond Economic Development, Inc.
2. Act as an assistant to the REDI Director. Carry out executive assistant functions including board communications and perform administrative and general office duties as directed by the REDI Director. Assist REDI Marketing, Events & Community Relations Coordinator to promote REDI’s brand, vision and mission.
3. Duties and Functions:
Office Operations
◊ Handle incoming calls, memos, submissions, and reports and respond appropriately
◊ Handle purchasing within budget
◊ Oversee stock control and office services
◊ Disseminate information by using the telephone, mail services, websites, and e-mail
◊ Establish and maintain relationships with vendors, stakeholders, and venues
◊ Operate file management system
◊ Organize and maintain paper and electronic files
◊ Perform data entry
◊ Maintain office furniture, equipment, and office supply inventories
◊ Assist with maintenance of the REDI website content, data, and image gallery
◊ Point of contact with prospects and businesses
◊ Assists REDI Marketing, Events & Community Relations Coordinator to maintain and track accurate investor/contributor list, support event logistics and execution
◊ Assist with development and proofing of content, which will be used to update REDI website and digital art, including blog posts, and social media posts
◊ Other duties as assigned by the REDI Director
Finances
◊ Coordinate with the REDI Treasurer and bookkeeper
◊ Assist with invoicing, check deposits and monthly financial reporting
◊ Assist with QuickBooks data entry
◊ Assist with tracking down receivables
Enterprise Zone Support
◊ Assist REDI Director with application submissions
◊ Assist Enterprise Zone companies with annual notice and filing
◊ Track and maintain Enterprise Zone applications, timelines and reporting
Board of Directors Support
◊ Develop agendas, prepare minutes and provide communications for Board of Directors and Committees
◊ Take notes at all board meetings (recorded) and committee meetings
◊ Prepare and distribute drafts and final copies of correspondence, agendas, minutes, reports, and similar material for board meetings
◊ Assist with administrative responsibilities of board committees as needed
◊ Communicate with board members on follow-up tasks after board and committee meetings
