Position Summary:
The warehouse coordinator is responsible for organizing and monitoring all warehouse receiving & shipping activities. This involves screening all incoming vehicles and determining their destination point and advising appropriate staff upon arrival. Ensure all docks are ready for these assigned trucks. Check in all drivers, assign loading door, and document in the WMS system. It is also essential to communicate with the customer service department regarding order processing and provide customer service for solving issues as they arise. Overall, this role will actively seek continuous improvement opportunities to minimize risk to the organization.
Responsibilities:
- Coordinating transportation providers to ensure prompt and proper movement of shipments.
- Responding to customer inquiries and referring clients to the proper channels.
- Reviewing BOLs and shipping documents to ensure accuracy.
- Making special shipping arrangements as necessary through FEDEX and UPS.
- Tracking and fixing shipping errors.
- Preparing bills and invoices.
- Ensuring that the quality of all services provided meets the required HMTX standards.
- Developing processes that make the warehouse administrative office more efficient and organized.
- Performs all assigned tasks accurately and efficiently.
- Respond to same day inquiries and questions with communication back to customer points of contact.
Knowledge & Experience:
- Excel, Word, and Outlook: Basic level of skill
- Makes Sound Business Decisions - Makes timely and well-informed decisions that advance critical priorities, capitalize on new opportunities, and resolve problems.
- Effective time management
- Excellent verbal and written communication skills needed.
- Establish and maintain professional relationships with vendors and internal customers to ensure high levels of service.
Education/Certification(s):
- High School diploma or equivalent.
Working Conditions:
Schedule: Generally, Monday-Friday, 7:00 am - 5:00 pm EST. Evening, and weekend tasks or calls, or work input may be required on occasion due to the nature of the role and subject to business needs.
Work Environment: Primarily working indoors in a warehouse environment. Prolonged exposure to seasonal weather conditions may occur.
Physical Demands: Walking, lifting, standing. Must be able to lift, pull, and carry up to 50 lbs. Work requires sitting, standing, and/or walking for extended periods, moving, and examining objects at various heights, and reading for extended periods. Requires frequent bending, stooping, standing, walking, turning, pivoting, and working in varying temperatures depending on the season.
