Operation New Hope is a nonprofit operating in Jacksonville, Orlando, St. Johns County, the Space Coast, and soon to open in the Tampa/St. Petersburg area. Our pre-release and post-release programs provide job training and placement, and comprehensive support services to people returning from incarceration and others who have been affected by the justice system with the goal of facilitating successful transitions back into the community. We motivate our clients to become productive, responsible citizens, and our programs help prevent recidivism, reduce the repeated costs of incarceration, and improve public safety. Our dedicated team supports the career opportunities, mental health, and overall stability of our clients to help them achieve self-sufficiency.
Position Overview: This position will act as central administrative support for the Tampa Regional Director and St. Petersburg satellite office.
Reports to: Regional Director
Essential Duties & Responsibilities:
- Acts a central point of contact by coordinating with the Jacksonville office for:
o Maintenance or building issues
o Office supplies
o Drug testing kits
o Marketing materials
o Intake questionnaires
o Accounts payable/receivables
- Responsible for coordinating meetings on behalf of the regional director and staff management team with key Tampa Bay stakeholders.
- Oversees a group of 20+ Transitional Housing Vendors that provide residential services to the Ready4Work and Ready4Success Clients. This work entails:
o Ensuring that leases and invoices are accurate and received in a timely manner.
o Ensuring all vendors have up to date corporate documentation with Accounting and ETO software system.
o Help resolve invoice challenges directly with the vendors, staff, and clients.
o Maintaining a database that includes all relevant data on each housing provider (i.e., sober-living, independent, male vs. female, meals provided, number of beds, etc.).
- Processes and submits Housing Voucher Check requests to Accounting, which includes researching and reconciling billing or lease issue.
- Assists with on-boarding of new Transitional House Providers, which includes overseeing the application and background check process.
- Ensures that all housing providers sign an MOU with ONH
- Responsible for working with staff to determine the best housing fit for each client prior to placement based on the client’s background and needs.
- Administrative support tasks related to program activities like ordering client lunches, managing supplies, and other relevant duties.
- Connects clients to resources in the community to help with their re-integration after incarceration.
- Greets all visitors and clients entering the building with a positive, helpful attitude.
- Answers phone calls and routes inquiries to appropriate individual/department.
- Perform other administrative duties as assigned.
Education / Experience / Qualifications:
- High school diploma or equivalent required. Associate or bachelor’s degree in the field of Administration preferred.
- Two years of administrative assistant or clerical experience preferred.
- Preference given to candidates with at least 2 years’ experience working with marginalized or underserved populations.
- Must possess excellent interpersonal skills, with a focus on team collaboration.
- Effective verbal and written communication skills.
- Organized and detailed oriented.
- Ability to adapt to change in a fast-paced environment.
- Proficiency in using computers, running reports, and learning new software.
- Proficiency with Microsoft Office Suite; Word, Excel, PowerPoint, Outlook, Teams, as well as electronic client records.
- Must have a valid driver’s license, clean driving record and reliable transportation.
- Must be able to clear a Level I Background check through the Department of Corrections.
- Must be able to lift up to 15 lbs.
