Role and Responsibilities
Individual will be responsible for the entirety of Accounts Payable, Accounts Receivable, Account Reconciliation, & Payroll.
Bookkeeping: Primary role of maintaining GL accounts, customer accounts, vendor accounts, manage sales tax exemption forms, W9, certificate of insurance and other compliance requirements.
- Perform AP and AR functions for the company- enter & pay bills, invoice and collect receivables, Construction AIA invoicing, etc.
- Obtain certificates of insurance and managing vendor profiles
- Review GL account details and ensure accurate coding
- Work within Job Costing software for all job related expenses and inside QB.
Payroll: processing hours from time tracking software into payroll software, review hours, PTO requests, holidays, etc. Tax reporting and Payments. W2's & 1099's.
Office Admin: Secondary role of assisting the leadership team with administrative duties as needed:
- Assist Project Managers in inquiries of customer status, invoice status, job cost reviews.
- Perform receptionist function: Answer incoming calls, assisting visitors, mail, setting up company meetings, events, and travel, etc. if needed
- Coordinate IT support for office including computers, phones, Email, and other software systems.
- Assist in managing building service agreements such as cleaning, facility maintenance, landscaping, etc.
Qualifications and Education Requirements
- Admin experience supporting managers with extensive knowledge of Microsoft Office programs.
- Knowledge and exposure to AP/AR systems, preferably QuickBooks.
- Construction accounting background recommended.
- Must have, or able to obtain, credentials for being a notary
- Proven track record of working effectively without direct supervision, self-starter and problem starter.
- Experience working in a small or medium sized manufacturing environment
- Valid Driver’s License, must pass drug test
Preferred Skills
- College education or equivalent certifications
- Experience working in the Cabinet/Mill working industry
- QuickBooks Experience
- Experience in social media and web-based communication and design
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
