Summary/ Objective
East Side House Settlement (ESH) is a community resource in the South Bronx. Under the supervision of the Senior Director of Community Schools, the Program Assistant will be key in the Adult Literacy Education team whose purpose is to provide comprehensive educational and social emotional supports that enable participants to meet their learning, educational and employment goals. A primary focus for the Program Assistant is to recruit and support our ALE participants throughout their process in the Test of Adult Basic Education (TABE) and Workforce services. The Program Assistant will communicate effectively with the Senior Director of Community Schools and Case Manager to coordinate participant intake, tutoring and all other wrap around services needed for participants, who are enrolled in various classes, to succeed.
Essential Functions
Duties and Responsibilities of Program Assistant shall include but not limited to the following:

Disseminates information to prospective students, instructors or organization seeking literacy and/or workforce development program offerings by following department/program established procedures (i.e., ALE, PSP, career readiness skills, vocational trainings, tutoring, employment, etc.)

Distributes Literacy & Workforce Development Services program information throughout the Mott Haven community. Including travel to events and other various locations within catchment area.

Recruits and enrolls student participants into the Adult Literacy Education & Workforce Development program.

Assist in outreach, intake, orientation, and case management of participants.

Help collect, enter, update and report data for performance-based contracts associated with the Excel program (i.e., registration, attendance, testing data, etc.) Responsible for all data entry across in-house and contracted data systems including participant enrollment, worksite entry.

Serve as a main point of contact for program participants.

Help in contacting program participants and worksites.

Assist ALE team with recruitment, enrollment, orientation, co-facilitation of workshops, monitoring attendance logs.

Ensure all participant files are up to date and in accordance with organizational and funding source requirements.

Minimum requirements:
- High School Diploma required; Associate degree with two years of experience working as a Program Assistant preferred.
- Engaging “customer service” personality and detailed oriented skills are essential.
- Familiarity with the communities being served, with knowledge and understanding of local needs and resources is a plus.
- Friendly, professional demeanor both in person and over the telephone.
- Excellent communication skills, organized, and motivated.
- Enthusiasm and respect for working with low-income adult population.
- Bi-lingual fluency and literacy in Spanish preferred.
- Computer literacy and proficiency in Microsoft Office suite, ability to navigate the internet, use of social media and other standard business technology required.
- Maintain the confidentiality of the participant information.
- Assist in other administrative duties, including file maintenance and answering phone calls.
- Must be vaccinated against COVID-19.

Expected Work Schedule
This is a part-time position, working between 10-15 hours a week. The ADL program operates Monday-Friday between the hours of 10am-7pm. Workdays/hours subject to change based on ESH’s needs.

Work Environment
This job operates in a professional school environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or listen. This is generally a sedentary role; however, some filing and site visits are required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
