Job Title: Operations Coordinator

Job Summary
In this role, you will oversee the general operations of our office and ensure that logistical needs are met. You will coordinate with vendors, handle billing/expenditures, and maintain stock of all supplies. You will also greet visitors and conduct some clerical duties. You will be an essential part of the smooth daily operation of our business.
The daily duties of an Operations Coordinator may include creating and maintaining operational procedures, conducting resource planning and allocation, tracking, and analyzing operational data, coordinating with different departments for seamless workflow, ensuring compliance with company policies and standards, and addressing any operational issues or challenges that arise.
Duties/Responsibilities:
· Oversee daily operations of the office
· Schedule and coordinate vendors
· Create reports for business expense, financial records and audits
· Foster good working relationships with vendors and service providers
· Ensure all office equipment is functioning properly
· Monitor supply stock and place orders as needed
· Greet visitors/employees to the office, answering any questions they might have
· Assist with planning and organizing conferences, events, staff training, and employee engagement activities
· Assisting with project management by creating assignments, tracking progress, and resolving issues
· Contact maintenance and ensure needed repairs are complete
· Assist accounting in tasks such as invoicing, entering tracking numbers for packing slips, audit sales orders, etc.
· Scanning customer and vendor ship packets
· Generate daily reports for the sales team
· Organize and update files as needed
· Answer phones, emails, and conduct basic clerical work
· Keep conference rooms clean, neat, and well-stocked
Supervisory Responsibilities:
· While this role does not have any direct reports, you will collaborate and interact with all departments and employees at all levels.
- Carries out responsibilities in accordance with the organization's policies and applicable laws.
· Responsibilities may include addressing complaints and resolving problems.
Requirements and Qualifications:
- High school diploma or equivalent required, Associate's degree preferred
- 2 years of bookkeeping and/or logistics experience (Quickbooks, Epicor, Sage, or other ERP system)
- Significant experience as an operations coordinator or similar role
- Experience in the customer service field is a preferred
- Excellent phone etiquette
- Proficient in technology and general office equipment
- Solid computer skills, including email and Microsoft Office
- Good typing skills
- Ability to coordinate multiple schedules
- Highly organized with an aptitude for problem-solving
- Able to prioritize tasks and work independently
- Certification of a project management professional credential may be required
- Excellent verbal and written communication skills
- Strong organizational and time management skills
- Valid driver's license required
- Ability to sit or stand for long periods of time
- Neat, professional appearance
- Friendly and personable
Preferred Experience:
· Bi-lingual in Spanish

Job Type: Full-time
Pay: $22.00 - $35.00 per hour
