Administrative Coordinator of Sales and Social Events
Reports to: Director of Sales and Director of Social Events
General Purpose: Administrative role to Director coordinating all catering related needs of groups and special events.
Essential Duties:
- Contacts customers face-to-face, by telephone and/or email, to confirm, coordinate, and update details for scheduled catering activities.
- Work with Director and members for each group’s catering needs which may include but is not limited to: menu planning, meal time, and room set up.
- Customer service skills
- Written and verbal communication skills

- Negotiation skills
- A basic understanding of the industry they work in and what the events are usually like
- The ability to do basic math
- Serves as liaison with vendors on event-related matters.
- Tracks all guarantees and deadlines based on member agreement.
- Call members for guarantee numbers for functions
- Generate bi-weekly BEO Packets and distribute internally.
- Distribute BEO changes, revisions to appropriate departments.
- Filing
- Assist members with small changes request etc. and completes needed paperwork
- Knowledge of software applications such as Microsoft Word and Excel.
Reasoning Ability: May be required: to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Physical Demands: Frequently stands, walks, sits, talks and hears; regularly uses hands to finger, handle, or feel; regularly reaches with hands and arms; occasionally climbs, balances stoops, kneels, crouches, tastes or smells. Frequently lifts up to 20 pounds and occasionally lifts up to 50 pounds.
Vision Requirements: Regularly uses close, distance, color, and peripheral vision as well as depth perception. Ability to adjust focus.
Environment/Noise: Occasionally works in outdoor weather conditions. Noise level is moderate.

Pay: $20.00 - $22.00 per hour
