SENIOR PROJECT COORDINATOR

This position is primarily responsible for the development of the Paint, Carpentry and Remodeling production schedule and reports to the Vice President of Production. Update and maintain the production schedule daily for field crews to ensure customer service requirements and committed timelines are being met and production capacity is being optimized. Maintain a daily schedule that the Production Management Team will execute. Work closely with Production Team and field teams to overcome any unplanned variances, downtime, or quality issues.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Create, manage, and publish daily production schedule for 8-12 paint, carpentry, remodeling field crews
- Work with Sales, Finance, and Production teams to monitor, adjust and react to changes in supply, capacity and weather conditions
- Daily intensive phone/email/text communications with Production team, Field crews, clients, trade partners (subcontractors) and other stakeholders to confirm/change appointments, ensure the highest customer service experience and delivery of commitments in a timely, profitable manner
- Ability to effectively organize, plan, analyze and compose production schedules that optimize the capacity and skillset of trade partners while meeting customer demand at the highest service levels
- Manage intake of remodeling projects from Sales team handoff as they are introduced into Production including checklist verification of all completed steps prior to acceptance by Production department
- Assemble and maintain accurate digital and print files for all jobs accepted into Production including all job specs, site details, material requirements etc. for management and distribution to field crew chiefs
- Create trade partner purchase orders/agreements, ensure all supplies receipts are submitted electronically for all jobs assigned, confirm accuracy of trade partner invoices
- Oversee purchasing of all material selections, including tracking and receipt of deliveries to on-site warehouse

- Intake/report on warranty and punch list items
- Ability to work within time constraints and deliver within deadlines
- Work with customer service at all levels to resolve all production and service issues
- Responsible for analyzing and reporting the impact of schedule changes and schedule compliance
- Ability to understand the financial impact on the business with regard to this position
- Attend Production team meetings to update/inform Production team on scheduling, customer requests, etc. including supporting Production team with powerpoint slide creation and content for weekly/monthly meetings
Qualifications:
Education and/or Experience:
- B.S. or B.A. preferred.
- Previous scheduling or process management experience a plus (but not required).
- Understanding or experience in contracting industry also a (BIG) plus! (also not required).

- Computer and online proficiency (Excel, Word, PowerPoint, Gmail and Zoho CRM a plus but not required)

- Proven ability to work within teams which are internally/externally-based and cross functional
- Fluency in written and verbal English
- Able to perform and analyze financial calculations
- Demonstrated independent work initiative, sound judgment, diplomacy, analytical ability and professional demeanor

- Extensive phone and computer use
- Daily attendance in Newton, MA corporate office Monday-Friday 7:00am – 3:30pm
- Flexibility in hours worked, including handling rare issues after hours and weekend issues by phone/text
- Some light lifting of materials/boxes required regularly
License/Certification:
- Valid Driver's License (Required)
- Eligible to legally work in the US (Required)
Compensation:Salaried based position depending on experience. Full medical and dental benefits available after 90 days. SimpleIRA with matching funds available at start. Total of 26 paid days off including personal time, vacation, holidays and sick time.
