Job Overview:
We are seeking a detail-oriented Parts Administrator to join our team. The ideal candidate will provide support to ensure efficient operation of the office. This is a full-time position in a dynamic work environment.
Duties:
· Credit Card Transaction
o Reconcile from TPro3
o Input into Spreadsheet
o Provide to Accounting
o Refund to Customer
· Invoices
o Create invoice to refund customers
o Create invoice to vendors for returns/short ship/overage/damage/monthly returns
o Create invoice for inventory adjustments
· Orders-Daily
o Check to make sure if its bank card payment that it’s indicated on invoice.
o Check to make sure that there is a contact name, phone number and po# on invoice
o Check to make sure that there is a shipping address for direct ship
o Create PO in CDK
o Place order through CDK/Vendor Website/Email to Vendors
o Coordinate shipping with vendor if it’s by our carrier
o Assist in orders that we haven’t received/received incorrectly
· Attendance-Daily
o Provide attendance to HR
· Claims
o File claim to vendor wither website or email
o Follow-up on credits, if haven’t received in a month
o Coordinate with carrier on pick-up of claims returns to vendor
o Once credit is received, provide GL tag with invoice to accounting department
o Input pertinent information into spreadsheet
o KOM Monthly Returns
· Petty Cash
o Reconcile cash with invoices
o Input into spreadsheet and deposit slip and provide to accounting
· Assistance/Training to OuterIsland/T-Division
o Train/assist in claim return to other branches and T-Division
o Create invoices for outerisland for KOM Fleetguard returns
· Development of SOP book for Orders and Claims and T-Division
· Phone coverage
o Parts Department
· Inventory Assist
· Assist with accounting department on price check, invoice adjustments and parts received
Requirements:
- Proven experience as an Administrative Assistant or in a similar role
- Knowledge of medical office procedures is a plus
- Familiarity with order entry processes
- Proficiency in Google Suite applications
- Strong customer service skills
- Ability to multitask and prioritize tasks effectively
- Experience in providing personal assistant support is advantageous
- Competency in typing and data entry tasks
- Previous experience as a clerk or in front desk operations is beneficial
